The ideal candidate will be responsible for managing the daily operations and administrative functions of the Global Disciples Canada (GDC) office and providing administrative support to the Executive Director.
Responsibilities:
1.Administration
a.Manage the general administrative activities of the office
b.Coordinate with all departments to ensure operational and organizational focus
c.Maintain and, as needed, further develop administrative/office systems
d.Keep and maintain various administrative records up to date
e.Develop and/or update policies and procedures
f.File all relevant organizational reporting requirements (CRA, Corporations Canada, BC Societies)
g.Provide the Executive Director with reports required to manage Finance, Public Relations and Marketing
h.Manage the travel arrangements and itineraries of the Executive Director
i.Manage the calendar and appointment scheduling of the Executive Director
j.Track, and analyze donor data
k.Ensure integrity of donor data base, currently Salesforce.
l.Oversee our communications calendar
m.Manage incoming and outgoing mail processes
2.Public Relations
a.Maintain GDC’s online presence via our website and social media postings
b.Send regular ministry updates and prayer requests to our supporting churches
c.Implement an appropriate donor acknowledgement and thank you process
d.Assist with planning, running and follow-up of fundraising and donor development events
3.Financial
a.Work with Bookkeeper to prepare all necessary information for our annual financial audit
b.Work with Bookkeeper to ensure annual tax receipts are issued
c.Work with Bookkeeper to execute wire transfers to GD for project agreements
d.Record all donations and ensure corresponding alignment with our Bookkeeper
e.Process cheque/cash and online donations. Make bank deposits.
f.Prepare and distribute Clergy Residence Deduction Forms
g.Serve as Plan Administrator for our Group Health Benefits Plan
Qualifications, Experience & Education
Required:
1.A demonstrated, dynamic Christian faith
2.A strong identification with the vision and mission of Global Disciples
3.Proficiency in Microsoft Office Suite
4.Detail-oriented self-starter with strong administrative, organizational, time management, prioritization, and problem-solving skills
5.Strong relational, verbal, and written communication skills, and excellent phone presence.
6.Diligent worker who shows initiative.
7.Post-secondary training in administration and office management or equivalent relevant work experience
8.Ability to work with minimal daily supervision and to also be able to collaboratively work within a team
Preferred:
1.Direct experience working in the Canadian non-profit or charity sector
2.Experience with donor research and Salesforce CRM software
