Job Description
Alexandra Hospital, Ingersoll and Tillsonburg District Memorial Hospital are actively seeking applicants for an Integrated staffing Assistant position. "Integrated" means that the successful incumbent will work at both hospital sites.


The Staffing Assistant is responsible for performing staff scheduling and payroll preparation for assigned service


(Nursing, Support Services, etc.). This position is expected to provide scheduling for support services departments and is based primarily out of Tillsonburg District Memorial Hospital.


Key Responsibilities


  • Prepare computerized time entries for team members for processing by Payroll. Download and review data to ensure accurate reporting and compensation
  • Prioritize assigned tasks and completes within specified times
  • Maintain current telephone numbers for team members and list of shift availability.
  • Check and dispatch outgoing correspondence.
  • Assist in care and maintenance of equipment.
  • In collaboration with the department leader, arrange unit orientation as required.
  • Maintain records for team members, including vacation entitlement and leave records.
  • Promptly report errors/events or situations of actual or potential event or harm
  • Maintain privacy and confidentiality.
  • May be required to perform other related duties.
  • Answer the telephone and respond to inquiries.
  • Schedule staff to meet department human resource needs, consistent with collective agreements, policies, procedures and/or required legislation, and in consultation with area Leader(s).
  • Screen, sort, and distribute incoming correspondence.


Qualifications


  • Demonstrated proficiency in Microsoft Office Suite including strong skills in Excel is required. Prior experience utilizing various database and scheduling programs is preferable.
  • Ability to demonstrate tact, discretion and maintain confidentiality at all times.
  • Ontario Secondary School Graduation Diploma or equivalent. Post-secondary diploma in Office Administration or equivalent program preferred.
  • One year of experience in hospital staffing and scheduling experience required.
  • Must possess strong listening skills along with the ability to express yourself clearly to others.
  • Ability to multi-task and meet deadlines in a busy environment with frequent interruptions.
  • Ability to relate to others. Must be able to establish positive interpersonal relationships with team.
  • Excellent organizational and interpersonal skills.
  • Prior working knowledge of union contracts and direct experience working in multi-union environment is an asset.


Other Pertinent Conditions


  • Salary as per the Non-Union Salary Schedule ($22.38 per hour to $26.18 per hour)

Must be available to work all shifts as required, which may include; weekends, statutory holidays, day and evening shifts. This position is integrated and will require work at both TDMH and AHI.
