Now Hiring - Associate Relationship Manager
The Associate Relationship Manager (“ARM”) works in partnership with the Relationship Managers (“RM”) in supporting developing solid, long-term professional relationships with clients and prospects. The ARM will also work closely with the Client Support Associate team to ensure information and reports are provided to clients, resolve problems and escalate to the RMs; as required.
The ARM will work closely with the RMs to represent TSX Trust in the delivery of existing products and services in order to meet the needs of the clients. The ARM will assist the RMs and are able to step in and become the central point of contact for specified Issuers, responding to and resolving client issues by providing direction, guidance, and ensuring quality service while adhering to professional, regulatory, and industry standards, as well as TSX Trust policies, procedures; as needed.
Key Accountabilities:
  • Coordinate with Corporate Actions and Cash Management team and/or CDS on security conversions and redemptions
  • Meet with clients to identify signing officers to fulfill AML requirements
  • Review of completed Proxy Planners to ensure all requirements and timeline deficiencies are communicated to the issuer or their advisors
  • Day to day direct collaborate with RMs and/or clients to oversee the administration of Issuer Clients portfolio. Interactions with clients are usually by email or phone.
  • Prepare for Ballots, as required
  • Client requests, including preparation of statistical & shareholder reports
  • Responding to general inquiries and resolving client issues but will escalate contentious or sensitive issues to the Relationship Managers
  • Assist and backup Client Support Associate team; as required
  • Coordinate the mailings and distribution with the Proxy Team (Setup/Control)
  • Review DRIP plans and coordinating with the Cash Management department and CDS
  • Coordinating the set-up of form of proxy/voting instruction form, and review the client’s information circular and other related materials
  • Provide input into operational work process improvements related to departmental work activities
  • Attend and assist RMs to prepare Scrutineer’s Report and report on any ballots conducted at the meeting for submission to the Secretary of the Meeting
  • Coordinate final meeting package to be sent to Issuer
  • Liaise with clients regarding treasury order deficiencies and legend removal on transfers
  • Advise appropriate parties of potential corporate actions to be approved at meetings and their impact at TSX Trust
  • Coordinate and advise client and finance of advance funds required for printing and mailings and other applicable services
  • Track voting requirements and preparation of tabulation report
  • Other duties and responsibilities as assigned
  • Understand Anti-Money Laundering (“AML”) and compliance program requirements
  • Be knowledgeable of all existing products and services to effectively promote and champion all offerings
  • Operate Virtual Shareholder Meetings (includes the set up, running kick-off meetings, meeting rehearsals and the actual meetings)
  • Coordinate Terminations and liaise with successor transfer agent to provide records and with the client to ensure documents, instructions and payments are received
  • Prepare for closings, review prospectus, closing agendas, provide confirmations and other required documents
  • Assist clients in scheduling and preparing for Shareholder meetings
  • Coordinate the set-up of segregated bank account, follow-up with clients for board resolutions and news releases, pertaining to dividend distributions
Must Have Skills:
  • Minimum of 1-2 years’ experience in the financial industry and/or transfer agent experience is preferred
  • Undergraduate degree in Business related field
  • Ability to work independently with minimal supervision
  • A willingness and ability to adapt to a changing environment and responsibilities
  • Ability to organize and prioritize tasks
  • Ability to be flexible and engage staff at all levels
  • Read and analyze documents
  • Ability to work with and liaise with the client support associates, relationship managers, senior officers of corporations and a strong desire to develop and maintain positive client relationships
  • Ability to analyze, problem solve and work independently
  • Ability to effectively communicate with Clients and colleagues
  • Strong organizational, interpersonal and communication skills
  • Strong proficiency with Microsoft Office Suite (Excel, MS Word), Google Suites application, Database Management and other desktop applications
Nice to Haves:
  • Completion of Canadian Securities and similar courses is preferred, but not essential
