Job Description
Are you looking for a short-term opportunity in the Administrative/Receptionist field? Do you have at least two years of Administrative assistant /receptionist experience?
We are looking for a professional and self-driven candidate who is ready to join a reputable organization in the financial industry and gain experience from professionals,
This is a three-month opportunity with a high potential for an extension. (part-time: Monday to Wednesday)

Advantages

Responsibilities
  • Work closely with the HR team and other departments
  • Order business cards and special projects as assigned
  • Assist with room bookings and catering, and help organize and set up office events
  • Work closely with the VP of People and Culture on projects and office management.
  • Maintain relationships with vendors and suppliers.
  • Support the Senior Executives
  • In charge of the central management of office supplies, prepares orders and manages inventory
  • Replenish office supplies on all floors and keep track of office inventory – such as furniture and other space planning initiatives
  • Maintain safe and clean reception and office area by complying with procedures, rules, and regulations
  • You will be the first person employees and visitors interact with as they come to the office via telephone and answer inquiries as needed.
  • Prepare all outgoing packages and documentation for delivery by courier
  • Maintain security by following procedures, monitoring the logbook, issuing employee passes and visitor badges
  • Collect, sort, and distribute all incoming departmental mail and incoming packages.
Qualifications
  • Post-secondary education in a related discipline with minimum 1-2 years of directly related experience
  • Detail-oriented and efficient
  • Outstanding verbal and written communication skills
  • Reliable with patience and professionalism
  • Organized with the ability to prioritize and multi-task
  • Outstanding communication and interpersonal abilities
  • Excellent knowledge of MS Office databases and information systems (mandatory).
  • Confidentiality is an important factor in this role
  • Ability to work with diverse and multi-disciplinary teams
  • Excellent organizational skills
