Proposal Design/Production Coordinator

What is the Opportunity?

We are seeking a dedicated and detail-oriented Proposal Design Coordinator to join our dynamic Proposal Team in our Toronto office. As a key member of the team, you will play a crucial role in conceptualizing, designing, and producing high-quality digital and printed materials for credentials packages, proposals, and marketing collateral. Your meticulous attention to detail, collaborative mindset, and commitment to maintaining brand consistency will contribute to our team's success in delivering winning responses to a wide range of RFPs, RFIs, RFQs, and other related documents.

What will you do?

• Other duties may be assigned to meet the company’s business needs
• Ensure accuracy, consistency, and compliance with firm writing style by proofreading and reviewing credentials, proposal drafts, and final versions
• Provide general administrative and proposal process management support to the proposal team as needed
• Assist in the development, maintenance, and coordination of content, tools, and templates to continuously improve proposal management processes
• Engage with engineers and building envelope specialists to collect and track data related to credentials and proposal success
• Maintain the visual identity and branding across all firm materials, upholding established standards and guidelines
• Collaborate with Proposal Specialists to interpret and comprehend client RFP/RFI/RFQ requirements, ensuring accurate customization and editing of materials, including case studies, professional CVs, and project descriptions
• Stay current with marketing best practices, industry trends, competitors, and market developments to inform marketing and business development initiatives
• Identify reusable proposal content and materials, contributing to the knowledge database and proposal preparation library
• Conceptualize and design visually appealing layouts for digital and print materials that align with the Entuitive brand standards and guidelines

Requirements

What do you need to succeed?

• Exceptional writing, editing and proofreading skills
• Strong project management and time management skills, with the ability to manage tight deadlines and competing priorities
• Experience preparing responses to RFP/RFIs, customized pitch books and presentations preferred
• The willingness to be Entuitive
• Flexible and open to changing priorities and managing multiple tasks
• Proficient in Microsoft Word, PowerPoint, and Adobe InDesign. Working knowledge Adobe Creative Suite is an asset
• Ability to effectively deliver quality work under tight deadlines and a high degree of attention to detail
• Ability to work overtime if needed. We work hard to maintain a good work-life balance, but overtime may be needed on specific submissions or busy periods
• Stellar client service skills along with the ability to communicate effectively (verbal and written) with individuals at all levels of the organization as well as external parties
• Ability to effectively deliver quality work with a sense of urgency and a high degree of attention to detail
• Creative thinker with a keen eye for visual aesthetics and branding consistency
• Strong proficiency in design software (Adobe Creative Suite), document editing, and formatting
• Able to have fun and love their work!
• Good judgement and problem-solving skills with the ability to work in a team environment
• Minimum of 2+ years of experience. Professional experience preferably working in the Architecture, Construction, or Engineering space considered an asset, in proposal development, graphic design, or related roles
