We’re looking for our next People Operations Administrator. Could It Be You?


The People Operations Administrator will play a critical role in coordinating People and Culture Services at Questrade and the day to day administration needs of the team.


What’s it like working as a People Operations Administrator at Questrade?


The People Operations Administrator will support People and Culture programs and participate in committees and special project teams as required.

In this role, responsibilities include but are not limited to:


  • Track end dates of secondments, fixed term contracts and contractor agreements and follow up with hiring managers as needed when expiry approaching. Assist with preparing extension letters when required.
  • Oversee and champion the new hire on-boarding process by gathering new hire documentation, ensuring accuracy and liaising with payroll and hiring managers to ensure new hires are properly set up in the payroll/HR system in a timely and efficient manner.
  • Facilitate BackCheck for each new hire
  • Act as backup to People and Culture team members when required
  • Maintain accurate and organized personnel files
  • Update internal Google site with relevant People and Culture material as needed
  • Conduct the weekly new hire HR orientation for all new hires and act as the main point of contact for new hire inquiries.
  • Other ad-hoc duties as required
  • Promote best practices, share ideas and information to ensure consistency with Questrade’s processes and procedures
  • Provide People and Culture administrative support to Questrade Financial Group.
  • Assist in planning, research, execution, and tracking of various projects within People and Culture
  • Operate with a sense of urgency and make recommendations for process improvement
  • Ensure all new hires and hiring managers have a smooth and positive experience.
  • Track work permit end dates and follow up when required to ensure accurate information is on file.
  • Oversee and administer the birthday celebration program
  • Responsible for employee verifications and employment letters
  • Draft documentation for employee change requests (transfers, promotions, secondments, amendments, etc) and communicate changes with relevant departments to ensure employee information is updated properly (payroll, IT, etc), when required.
  • Provide support to ensure all People and Culture related systems are up to date for any new hire, transfer, promotion changes etc (Ceridian, Awardo, Culture Amp, etc)
  • Responsible for producing organizational charts when requested
  • Oversee and administer the Qperks program

  • Ability to show empathy while maintaining adherence to policies and procedures
  • Creative thinking, think outside the box
  • Working towards the CHRP designation would be an asset.
  • Diploma or Degree in Human Resources or a related field.
  • Collaborative and proactive approach
  • 0-6 months of HR and / or administrative experience.
  • Excellent problem solving skills and takes initiative to provide creative recommendations
  • Strong interpersonal skills and comfortable interacting with staff and managers in a professional manner
  • Exceptional interpersonal skills, excellent oral and written skills
  • Proficient with Microsoft Office, particularly Excel
  • Strong attention to detail and ability to take ownership of tasks
  • Act with a sense of urgency
  • Comfortable with technology, including Google Suite
  • Customer service background, understands the importance of the employee experience
