Our client in the Urban Planning and Design space is looking for an Office Manager, like YOU, to join their growing team!


About You


You are a confident and experienced Office Manager who is a proactive self-starter. You have excellent administrative and problem-solving skills. Your skills enable you to adapt your communication and working style to effectively collaborate with a diverse range of personalities. You understand how to develop and maintain professional relationships and you take a client-centric approach to your work and love collaborating with others to deliver valuable results. You are self-directed and resourceful, which means that you like to take the initiative to find and create solutions to problems you identify.


Your Key Responsibilities


As an Office Manager, you will be responsible for ensuring the office operates at peak efficiency and that clients receive excellent customer service. Your day-to-day duties will include:


  • Help manage office operations of the firm's partner co-working space to foster a positive and productive work environment for all staff.
  • Act as the friendly face and first point of contact that greets clients, contractors, and other guests as they come into the office.
  • Channel your tech-savvy skills to update, organize, and maintain company software, files, create graphic designs, and subscriptions as necessary (OneDrive, Google Drive, InDesign, PowerPoint, etc.)
  • Book client appointments, manage team calendars, book meetings, and distribute mail to promote harmonious office operations.
  • Assist the development team with filling out and submitting development application forms via DocuSign.
  • Manage relationships with clients to keep our team prepared and ready to meet our client's needs and exceed expectations.
  • Perform other administrative and client-facing responsibilities as required.


Your Qualifications


  • Resourceful and adaptable problem-solver that implements feedback quickly and effectively.
  • 3-5 years of experience owning your role as an Office Administrator or Administrative Assistant.
  • A creative approach to content creation with working experience in graphic design.
  • Confident in navigating Microsoft Office applications and subscriptions and relaying any issues.
  • Bachelor’s degree or college diploma in Office Administration from a post-secondary institution.
  • Exceptional written and verbal communication skills to liaise with clients, staff, and stakeholders.
  • Outstanding organization and time-management skills to thrive in fast-paced work environments.
  • Strong attention to detail to deliver accurate and high-quality work every single time.
  • Vibrant and welcoming demeanor to deliver outstanding customer service to clients.


NICE TO HAVES


  • Experience managing relationships with private clientele is considered an asset.
  • Interest in urban planning, land development, and/or design– we are a passionate group and love learning from each other every day!
  • Exposure to HR, recruitment, and employee relations is a great asset to bring to the table.
  • A basic financial understanding of invoices and hiring out is considered a bonus.
  • Research, data analytics, and data visualization skills are considered an asset.
