Job Description

Wenco International Mining Systems (www.wencomine.com), a subsidiary of Hitachi Construction Machinery (HCM), provides industry leading, innovative technologies to customers in the mining and material movement sectors, enabling sustainable and safe operations.


We are currently looking for a full-time Office Manager to join our team in Richmond, BC.


Reporting to the Head of Administration (Corporate Project Manager) at the head office. The Office Manager’s primary responsibility is to manage general office support related matters.


Key Deliverables and Responsibilities:

  • Other ad hoc requests, special assignments and projects as directed
  • Responsible for document retention (hard copies when needed, softcopies in SharePoint and Iron Mountain)
  • Assist in preparation and approval process for purchase orders and purchasing items for corporate use
  • Lead planning and execution of staff events and social committee events
  • Provide front office support including greeting staff and visitors, answering the general office phone and providing general administrative support to all departments and/or employees
  • Manage facilities and relationships with vendors, service providers and landlord
  • Lead contract and price negotiations with office vendors and service providers with approval from appropriate department head and Finance
  • Coordinate outgoing courier shipments and distribution of incoming mail and packages
  • Assist HR with onboarding of new employee
  • Being an active member of Wenco’s Joint Health & Safety Committee & Social Committee
  • Assist Executive Assistants with organizing corporate meetings for groups of 20 or more attendees from Wenco’s global offices
  • Act as a global admin/contact for the company’s travel platform with Direct Travel and support branch administrative roles with regards to Wenco’s Travel Program
  • Assist and/or maintain various SharePoint sites for travel and be an internal first point of contact for travel related enquiries and support.


Experience and Knowledge

  • Inventory tracking experience an asset
  • Knowledge of Adobe
  • 5+ years of experience in a relevant role
  • Occupational First Aid Level 1 Certification an asset
  • Strong knowledge of Microsoft Office applications (Excel, Word, PowerPoint, SharePoint)
  • Event planning experience an asset
