About the role
The office of MP Bradford, Member of Parliament, Kitchener South-Hespeler is looking for a full-time employee to oversee the overall management of the administrative and operational functions of the Constituency Office and provide strategic advice to the Member and office team. The incumbent is accountable for implementing and overseeing processes, methods and practices that support the Member’s office business and information management requirements, and for ensuring effective and timely service, outreach, and communications. This position reports directly to the Member of Parliament.
The Constituency Office Manager will be responsible for:
- Attending community meetings and events with or on behalf of the Member, including logging event details, associated social media posts and executing necessary follow-ups;
- Maintaining a high level of customer service by ensuring case work is managed and actioned in a professional and timely manner;
- Managing all aspects of constituency office activities and staff (supervisory), including recording vacation and sick time;
- Ensuring all relevant data is being collected and recorded in the relevant database;
- Monitoring and actioning Member’s constituency email account;
- Organizing community and office events, including leading the proposal, planning, marketing, and implementation within expected budget and schedule;
- Establishing and managing multiple priorities, meet strict deadlines, and work independently to efficiently manage multiple and concurrent projects in a high-stress environment;
- Demonstrating tact, diplomacy, high degree of discretion and superior skill in building and maintaining work relationships with internal and external clients;
- Managing the administrative functions of the Constituency Office including inventory, petty cash and ordering of office supplies;
- Developing and maintaining stakeholder and constituent relations. Supervise the maintenance of stakeholder database;
- Other duties as assigned.
- Providing direction to all staff and interns and serves as liaison between the Member and staff where necessary, particularly in day-to-day problem solving and troubleshooting;
- Ensuring Member is briefed and staffed as required for constituency events;
- Overseeing the planning and scheduling of the Members Constituency schedule and office community events, including community outreach;
- Maintaining a current knowledge of government programs, subsidies, initiatives and legislation;
Qualifications and Skills:
- Experience creating images and videos for social media and ability to actively participate in social media.
- Confident communicator, with excellent writing ability and communication skills;
- Exceptional organization and time management skills;
- Advanced skills in Microsoft Office (Excel, Outlook, PowerPoint, Publisher and Word)
- Familiarity with Federal Government services and programs;
- Ability to work effectively under pressure and managing multiple priorities;
- Effective decision making and team building skills;
- Ability to research, analyze and synthesize complex findings within a short time frame.
- Demonstrated leadership (mentoring and supporting staff) and management ability;
Assets:
• Previous experience as a Senior Case Manager or Office Manager in a Constituency Office
• Familiarity with the local community and knowledge of local issues and geography
• Previous experience in a management role
• Experience with event planning and management
• Knowledge of graphic design and publishing
