Do you like wearing many hats, keeping things organized and are proactive in problem solving? We are hiring for an Executive Assistant and Office Manager role.This is an in-office role, based out of Vancouver, BC.
As theExecutive Assistant and Office Managerat ToursByLocals, you will manage all facilities communications, office management and ordering, and office maintenance. Reporting into the VP, People and Culture with a dotted line reporting structure to the CEO/President,your scope of responsibility will encompass supporting the CEO/President and creating a seamless in-office experience for our team. You willbe responsible for everything from managing calendars, planning in-office events, to ordering supplies for the office in collaboration with the People and Culture and IT teams. Your primary goal will be to provide comprehensive administrative support to the CEO and ToursByLocal team and here’s how you’ll do that:
- Ensure our office is well stocked by ordering office and kitchen supplies on an ongoing basis, and as requested
- Managing calendars for the executive team with both internal stakeholder and external stakeholders, including the Board of Directors and investors
- Coordinating travel, travel reimbursements and accommodation requests for The CEO and other executive team members
- Taking care of ad-hoc administrative requests, such as making dinner reservations for board members, organizing office events and food ordering requests for events, etc.
- Manage vendor and building relationships, including coordinating office maintenance, and office lease and insurance in collaboration with the Legal and Accounting teams
You may be the right person for this role if you:
- Have 3+ years of experience in providing comprehensive administrative and office management support to executives
- Can maintain a high level of confidentiality, as you may be dealing with sensitive company documents, attending key meetings and managing executive level calendars
- Love to learn and grow - you challenge yourself to learn, fail, and constantly improve, whether that’s through formal education or by gaining professional experience.
- Can manage your time well, understand how to prioritize your tasks and can adapt to changing priorities
- Are experienced in planning and coordinating company events, meetings or conferences
Some bonuses for us are if you:
- Have previous experience with travel booking and management
- Have worked in a dotted line reporting structure in the past and have experience managing multiple priorities
