Office Manager

ABOUT THE OPPORTUNITY

Are you curious, bright and motivated?

We are a busy design and development office in Vancouver looking for a talented Office Manager – our “Swiss Army Knife”.

We are searching for an Office Manager who excels as a self-starter and is motivated to provide top-notch administrative management.

The role

  • Provide project support and coordination such as organize conference calls, video conferences and production of required materials.
  • Manage often changing calendars, travel schedules, expense claims, contact database among others in order to maximize best use of everyone’s time.
  • Assist in the preparation of new organization systems, development of communication materials for social media, and planning of social events.
  • Provide flexible, reliable and comprehensive administrative oversight to partners, managers and team members.
  • Administrate vendors, ensure professional function of office, and manage general office supplies.
  • Update, maintain, and archive electronic files, documents, databases, and contracts.

ABOUT YOU

Our preferred candidate would have 2+ years of related experience in a professional office environment in a similar administrative capacity. The ideal candidate will also possess the following skills, strengths, and interests:


Technical

·Excellent communication skills including writing and editing ability.

·Intermediate to advanced skills in Microsoft Office programs including Word, Excel, Outlook, and Teams.

·Experience with digital arts or graphic design will be considered an asset.

·Working knowledge of social media platforms will be considered an asset. This includes an understanding of best practices for LinkedIn, Indeed, and Facebook.


Interpersonal

·Strong listening and communication skills, both written and verbal.

·Ability to proactively make decisions and prioritize with little guidance.

·Team player and highly adaptable, demonstrates initiative and positive attitude.

·Able to work independently; seeks input and asks for help from team members when needed.


Professional

·Manage sensitive and confidential information with tact and discretion.

·Keen sense of professional discretion and judgement.
