We are seeking a highly organized and detail-oriented Office Manager to join our team. As the Office Manager, you will oversee the smooth functioning of our office operations, support our team of professionals, and ensure efficient administrative processes. Your role will involve managing office logistics, coordinating administrative tasks, and providing exceptional support to enhance productivity and professionalism. Responsibilities


Office Management


  • Arrange gifts, cards, flowers, etc.
  • Maintain office supplies inventory, anticipate needs, and place orders when necessary
  • Ensure proper vetting of new vendors
  • Issue and administer company gas cards
  • Maintain office administration files
  • Manage corporate vendor accounts (for example Home Depot and Princess Auto)
  • Manage parking assignments for office management
  • Order corporate stationary, business cards, etc.,
  • Oversee the maintenance and repair of office equipment
  • Ensure annual membership renewals
  • Issues keys, FOB, and long-distance phone codes
  • Oversee day-to-day office operations and ensure the office runs smoothly
  • Ensure the office always looks professional, awards framed, repairs completed, etc.
  • Manage property key disbursement and record keeping
  • Administer Security System for office alarm, FOB, and troubleshooting
  • Monitor software licenses and renewals
  • Ensures cleanliness of the office and collaborates with janitorial staff
  • Purchase office furniture as directed
  • Manage office equipment and ensure proper functionality


Reception


  • Oversee the duties of the receptionist
  • Arrange secondary backup for the receptionist as needed
  • Primary backup for the receptionist to cover breaks and vacation


Marketing


  • Update Argus website, LinkedIn, and Social Media Accounts
  • Obtain reports and analytics for website activity
  • Update all residential vacancies and rental availability
  • Select and purchase promotional materials including but not limited to Christmas Cards
  • Research advertising opportunities
  • Oversee the production of print ads, banners, or brochures
  • Coordinate collection of photos and Matterport videos


Administrative Support


  • Assist with tenant inquiries, lease agreements, and rental applications
  • Document preparation, data entry, and record keeping
  • Prepare correspondence, reports, and presentations
  • Schedule appointments, meetings, and property viewings


Vehicle Coordination


  • Support Finance with vehicle insurance as needed
  • Schedule regular vehicle maintenance
  • Ensure proper registration of vehicles
  • Manage vehicle inventory and records
  • Pick up and drop off vehicles as needed
  • Support purchasing, leasing, and selling of vehicles


Employee Support


Support the HR/Payroll staff with the following duties:


  • Organize Properties Staff Appreciation Events
  • Ensure the completion of new employee onboarding paperwork and submit it to HR & Payroll
  • Submit IT ticket for new employee set up based on requirements provided by Dep Head
  • Support overall employee recognition initiatives
  • Ensure new employee office/workstation is set up with all the required IT and office supplies
  • Ensure new employees are set up for Outlook, Teams, and One Drive
  • Organize anniversary celebrations


Any other duties as assigned by the Director of Property Management


Requirements:


  • Strong interpersonal skills and the ability to work effectively with diverse stakeholders
  • Proven experience as an Office Manager, or similar role
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy in handling administrative tasks
  • Proficient in MS Office Suite (Word, Excel, PowerPoint)
  • Professional and friendly demeanor with a customer service-oriented approach
