Manager, Executive and Governance Support

Job Summary
Reporting to the Chief Executive Officer (CEO), the Manager, Executive and Governance Support will be responsible for providing executive administration and organizational support to the CEO, Senior Leadership Team (SLT) members, and the Board of Directors as required.
The successful candidate will be a self-confident, creative, innovative thinker with superior organizational skills and will demonstrate a high regard for confidentiality.This role is expected to take on special projects as assigned.
Essential Duties and Responsibilities:
Executive Administration:
- Correspond on behalf of CEO with Board Members, key stakeholders, and associated personnel
- Support SLT and Managers meetings as required
- Monitoring of key deliverables and upcoming accountabilities for the CEO, employing a system of proactive issue and project management
- Coordinate various business functions, including off-site locations, and create presentation materials for a variety of audiences.
- Preparation of supporting materials for executive leadership's meetings and deliverables
- Monitor correspondence, primarily email inbox and paper documentation, reviews content, checks deadlines and handles on recipient's behalf, where possible
- Plan and oversee coordination of logistical planning for meetings and appointments, both onsite and offsite, as well as the schedule of events for the CEO.
- Supporting to conduct various meetings on virtual platform - Zoom & MS Teams.
- Support the CEO as required, with daily executive administrative tasks including calendar management
- Monitor calendar, arranges appointments and meetings and manages the conflicting demands and changes to schedules
- Maintaining all staff contact lists and organizational contracts
Governance Support:
- Prepare minutes of all meetings, including the development and tracking of action items
- Prepare meeting agendas for all board and committee meetings, ensuring all items are including according to the BOD workplan
- Oversee the management of the online Board portal, ensuring all directors are able to access and utilize all the system features
- Plan and execute the Annual General Meeting, including managing the notice period, building of the agenda and supporting documents and meeting details
- Manage all meeting details, including travel and catering, as required
- Act as the primary liaison with the Alzheimer Society of Toronto (AST) Board of Directors, including communications on governance items, and providing governance support to Board members and committees
Job Qualifications
Education:
- Post secondary degree or equivalent from an accredited college or university
- An equivalent combination of training, education and experience will also be considered.
Experience:
- Three to five years of direct experience in an executive support capacity
- Proven track record of supporting a Board of Directors and the Board committees
Other Knowledge, Skills, Abilities or Certifications:
- Exceptional computer skills with good working knowledge of MS Office, and surveying applications.
- Excellent attention to detail
- Excellent writing skills for various communication channels
- Ability to maintain confidentiality and meet deadlines.
- Possess strong administrative leadership and project management skills, with a demonstrated ability to manage concurrent projects under tight deadlines
- Supervisory training or equivalent experience in managing staff considered an asset
- Ability to work as a team member
- Strong client orientation with client-friendly problem resolution skills
- Ability to take initiative and use independent judgment to solve and/or respond to requests for information
- Excellent organizational and time management skills
- Superior communication skills
