Our client is a leader in the responsible development and reliable and safe operation of North American energy infrastructure. They are one of the continent’s largest providers of gas storage and related services.
- Monitor compliance to contract requirements, ensuring all conditions are satisfied
- Monitor, review and report Contractor(s) performance in accordance with the KPIs related to the Contract(s).
- Administrative duties (updating records, filing, logging/tracking correspondence, validating invoices to contract terms, reviewing change requests, preparing, issuing and filing change orders, etc.).
- All other duties assigned as required including supporting coverage for team members
- Interact with SC leader(s), BU client(s), accounts payable, other SC team(s), other internal stakeholders and contractor(s) & supplier(s) as required to effectively perform the work
- Work with internal stakeholders and personnel, field support and others as required, for completeness and accurate review of LEMS
- Work collaboratively with other LEM coordinators and contract administrators to maintain consistency in processes
- Maintain contract-related authorization and correspondence to support execution and claim mitigation
- Be familiar with Contract’s compensation mechanisms and administrative requirements (outlined in Terms and Conditions various Contract Schedules (Schedule ‘B’ - Price and Schedule ‘G’ - Administrative Requirements)
- Promote and participate in team huddles, and promote continuous improvement and identification of cost saving opportunities
- Support SCM Manager and Claims Manager with various site related documents and claims, as needed
- Ensure that the agreed upon contract conditions are adhered to by the suppliers including supporting the rate validation process and follow up with suppliers
- Ensure LEMs review against daily timesheets signed by Field Inspectors staff for attestation of rates for personnel, equipment and hours
- Monitor recovery of back charges and maintain back charge log
- Prepare and share applicable reports and presentation as applicable on Contract(s).
- Ensure signed LEMs are saved with all related backup in project folder
- Maintain communication log, Payment Certificate and Invoice log
- Actively participate in internal and external meetings including drafting and distributing meeting minutes
- Enter LEMS data in a timely manner ensuring accuracy
- Provide sound Supply Chain Management advice, guidance, and options to internal stakeholders while following established processes and proper authorization control.
- Invoice attestation and compliance with the contract including data validation i.e. LEMS, Sub-Contractor Invoices, Material Receipts, Third Party Invoices
- Assist with internal and external Audits where required – reconciliation of Labour, Material and Equipment hours
- Collect data from multiple sources to ensure accuracy and compliance (ie: Contract, Change Orders, Contractor’s Payment Certificate, Invoices, field Timesheets)
- Perform contract close-out activities
- Track LEMS workflow end to end process as per set internal processes for Base Scope or Changes
- Complete reconciliation of Labour, Material and Equipment hours
