Job Description

Key Responsibilities


Executive Support

  • Liaise with the Development department to facilitate fundraising efforts with selected Board members; and
  • Maintain relationships nationally with Indigenous organizations, prospects and sponsors.
  • Manage, prioritize and/or redirect inquiries and determines appropriate action in response to requests from a wide range of stakeholders;
  • Maintain awareness and understanding of Indspire’s goals, plans and activities in order to anticipate the needs and priorities of the CEO;
  • Provide executive support and advice on key initiatives, including the provision of briefing notes, analysis of complex information and distillation of issues for the CEO’s review and decision;
  • Manage and coordinate workload priorities to support the CEO on strategic initiatives;


Administrative Support

  • Develop, coordinate and maintain records management system for the CEO’s office, including but not limited to speeches and related commitments;
  • Work with the COO’s office to prepare briefing notes for the CEO
  • Manage CEO’s schedule;
  • Research and prepare materials for the CEO in advance of meetings.
  • Prepare a variety of correspondence, including letters, briefing notes and related matters for the CEO’s signature;
  • Maintain and ensure the confidentiality and security of relevant CEO, Board and Board Committee electronic and paper files; including Board agendas, minutes, materials and reports.
  • Handle special projects.
  • Work with the Communications and Marketing department to coordinate CEO speaking engagements and events; including planning activities with various conference coordinators.


Boards of Directors Support

  • Lead the coordination and distribution of supporting documentation and meeting materials for regularly scheduled and special Board and Committee meetings;
  • Monitor issues and make recommendations to CEO for process improvements and ensures sound controls are in place.
  • Develop and maintain relationships with Board members;
  • Act as secretary to the Board of Directors and arrange timely resources for Board and Committee meetings; including booking meeting rooms, catering, and transportation for meeting participants;
  • Distribute approved minutes to all appropriate parties and follow up on action items as required;
  • Attend all Board and Committee meetings; draft minutes for review/approval by CEO;
  • Manage Board portal for timely updates and relevant information postings;
  • Organize and provide all resources and materials for the Annual General Meeting, including notifying Board members and staff participants, arranging meeting room, catering, transportation, follow up etc;


Qualifications

  • Highly developed communication skills, both written and oral along with well-developed conflict resolution skills
  • Must be able to work occasional evening and weekends and possess a willingness to travel within Canada
  • Demonstrates sound problem solving and analytical skills
  • Ability to work and make decisions independently ability to prioritize and deal with multiple projects and changing deadlines
  • Ability to work confidentially with sensitive information.
  • Knowledge of and experience in Indigenous communities strongly preferred and/or openness to learning, including cultural competency training
  • Completion of a university degree in business administration or equivalent demonstrated experience
  • Proven skills with a variety of software packages; Microsoft Office (Word, Excel, and Power Point)
  • Demonstrated ability to provide administrative support to Board and Board Committees
  • Demonstrated ability to exercise discretion, judgement and demonstrates a high level of professionalism
  • Progressive experience, usually demonstrated through at least 5 years’ in providing support to a Senior Executive
  • Travel between Six Nations and Toronto offices is required.
  • Sound knowledge of Board governance and related practices.
  • Proven organizational skills to ensure issues are managed within specified timeframes
