Job Description

Title: Events Planning Coordinator

Rate: $41.00/hr.

Worksite: Markham, Ontario L3R 0T5

Duration: 12+ Months


Tasks/Duties/Responsibilities:

  • Program Coordination-Book, liaise and manage venues, adhere to budgets and compliance guidelines.
  • Provide cross coverage when required.
  • Curriculum Support -Working alongside the MedTech manager, support the development and execution of a comprehensive medical education event strategy.
  • Develop and maintain a comprehensive database of all sponsorship conducted and upcoming opportunities.
  • Provide superb customer service for all event participants.
  • Contracts and Accounting-Manage all payments and contracts related to the Franchises.
  • Resource and Digital tools Management-Using innovative digital tools and platforms to run programs and increase connectivity with our customers.
  • Booking Audio-visual and ensuring all material is consistent and adheres to company guidelines.
  • Data Management and Analysis-Conduct post-event evaluations to continuously improve event processes and measure the impact of medical education events on the Franchise’s overall goals and objectives.
  • Monitor vendor performance and provide guidance to ensure events are executed efficiently and effectively.
  • Develop and manage invites and associated websites.
  • Compliance and Documentation Management-Responsible for the complete life cycle of all sponsorships for MedTech Canada, managing audit files including helping to identify, write, submit, and report on all funded initiatives.


Other Duties:

  • Create and manage a project management system to track the progress of all sponsorships and ensure compliance.
  • Work collaboratively as an active member of the Scientific and Professional Affairs team to stay up to date on the latest trends and best practices in medical education events and make recommendations for continuous improvement.
  • Describe important tasks or duties, not mentioned above, that are performed infrequently and are not critical to accomplishing the essential functions of the job.
  • Consider and identify qualifications potential applicants must possess to be considered for the position. Basic Qualifications must be clearly stated, objective and relevant to this position.


Required Minimum Education & Qualification:

  • Healthcare compliance and/or relevant business experience is required.
  • 5+ years in a support role with a strong focus on event management and execution.
  • University Degree, Bachelor’s Degree in Marketing, Science related field, Education, Event Planning, or related field.


Required Knowledge, Skills, and Abilities:

  • Strong digital acumen including event management tools and platforms.
  • Experience managing cross functional partners and external vendor relationships. Provide guidance and oversight to ensure the efficient and effective execution of events.
  • Strong communication and interpersonal skills with the ability to build relationships with key healthcare stakeholders.
  • Experience managing contracts as well as experience with payments and budget management.
  • Ability to work effectively in a matrixed, fast-paced deadline-driven environment.
  • Excellent analytical skills with the ability to develop and implement comprehensive event strategies.
