What does your day at GIP look like?
Reporting to the Project Manager, the The Construction Project Administrator will be working from our site office located in Liberty Village (Toronto) and will help the project management team with various administrative duties.
- Daily Submission of employee hours using proprietary systems
- Manage office requirements, such as supplies, communicating with the landlord etc
- Document control which includes on-going maintenance and updating of our digital filing system and the filing system for all physical paperwork
- Drafting RFI’s and Change Orders, as needed.
- Act as a liaison between site and yard, site head office (communicating with payroll team, Procurement Team and Accounts Payables team), and between Site and vendors (to place orders, request order updates, modify orders, and confirm delivery details.)
- Record and distribute minutes for meetings
- Prepare and Distribute formal submissions of work packages
- Document flow which includes, but is not limited to: the distribution of Submittals, Requests for Information, etc.
- Miscellaneous tasks as assigned .
- Coordinate efforts with subcontractors and suppliers as necessary
- Visit construction sites within GTA for meetings, tours and to support office coordination efforts
- Procurement which includes placing Yard requisitions, trucking requests, and requesting quotes and orders with Vendors
- Data entry including, but not limited to: Installation Reports, Time and Material sheets, Schedule trackers, etc.
Enough about us, let’s talk about you.
- Minimum of 2 years experience working in construction, or similar
- Proficiency in Microsoft Suite.
- Willingness to learn on the job as new tasks develop.
- Ability to balance multiple work demands using strong organization and time management skills
- Coordinate efforts with subcontractors and suppliers, as necessary
- Detail-oriented individual with attention to following a defined process to ensure Documentation completeness and accuracy
- Strong communication and collaboration skills with a proven ability to work as part of an integrated team.
- Applicable G or G2 Drivers license (or recognized equivalent) with access to a vehicle
- University degree or college diploma in a relevant discipline, or the equivalent in work experience.
