Job Description

The role involves supporting the approval and distribution of capital budgets and overseeing various aspects of construction projects. Additionally, it includes providing administrative aid to Area Construction Managers and the National Manager. Strong project coordination skills, meticulous attention to detail, and the ability to handle multiple tasks in a fast-paced environment are essential. Proficiency in Microsoft Office Suite and database systems is a must, and bilingualism in French is a requirement.


Responsibilities:

Construction Projects:

  1. Assist with capital budget approval and distribution for construction projects.
  2. Manage project-related tasks, including: a. Generating project budgets and purchase orders, including the submission of RFPs & RFQs for new projects. b. Occasionally assisting with invoice payment monitoring. c. Overseeing the tendering process for construction projects, ensuring all necessary documentation is submitted by the general contractor (GC) before commencing construction. d. Supervising GC PO creation, monthly draws, change orders, and retainage release. e. Ensuring compliance with the 150-day closeout deadline for all construction projects. f. Coordinating with vendors (suppliers), reviewing quotes, addressing escalations, and troubleshooting.
  3. Provide support to Area Construction Managers (ACM) by attending project meetings and managing project documentation.
  4. Organize, maintain, update, and ensure the necessary information is available in site files following the Construction Folder Required Documentation Checklist.

Admin Support:

  1. Offer administrative assistance to Area Construction Managers and the National Manager, which includes tasks such as: a. Scheduling meeting invites and reminders. b. Coordinating and planning various meetings. c. Creating meeting agendas. d. Recording and distributing meeting minutes. e. Generating reports from relevant databases.


Qualifications:

  1. Possess 3-5 years of relevant work experience, with a preference for project coordination skills and/or construction administration background.
  2. Exhibit exceptional written and verbal communication abilities.
  3. Proficient in Microsoft Office Suite, specifically Word, Excel, and PowerPoint.
  4. Demonstrate outstanding organizational and multitasking skills, maintaining high accuracy and attention to detail.
