Job Description
Job Summary


The Assistant, Facilities Management provides front-line reception and general support to the Facilities Management Department.


The Assistant acts as an initial office contact and provides assistance and information to faculty, staff, internal administrators and members of the University community as well as external stakeholders on matters pertaining to Facilities Management.


In addition, the Assistant undertakes general day to day administrative duties in support of the effective functioning of the Facilities Department.


The salary scale is currently under review through collective bargaining and may be subject to change dependent on the outcome of negotiations.


Note that this is a one-year contract.


The Assistant


  • Books UFV rooms for contractor and staff access as required.
  • Communicates in a respectful and professional manner with all members of the team, department, University community and external partners.
  • Demonstrates respect for all members of the UFV community and proactively works to create an environment of inclusivity and accessibility.
  • Proficient in using Microsoft Office.
  • Follows up with contacts and personnel as required.
  • Acts as initial contact for internal and external enquiries providing information or referring as appropriate.
  • Tracks, reports, and follows up with contractors and staff who have not returned key and ID tags.
  • Receives work requests from faculty, staff and students via email, telephone and walk in requests.
  • Assists with Contractor sign-in which includes obtaining keys, identification cards, and parking passes; distributes safety procedures and collects authorized Contractor Access Release forms.
  • Undertakes related duties as assigned, consistent with the job grade of the position.
  • Two (2) years’ experience working in an office environment.
  • Maintains department printer/paper supplies.
  • Maintains communication with facilities staff using two-way radio, telephone, and email for issues such as: janitor day-time assistance, room set up, and contractor assistance.
  • Engages in learning and activities related to actioning indigenization and understanding the impact of colonialism and the purpose of reconciliation.
  • Well developed interpersonal and oral communication skills.
  • Inputs information and creates work orders in Azzier® Computerized Maintenance Management System (CMMS).
  • Opens mail and distributes to department members.
  • Participates in committees and project teams as required.
  • Communicates with other UFV departments as required.
  • Collaborates effectively as a team member, including sharing information, cross training, and interpersonal cooperation.
  • Completion of a certificate in office administration from a recognized post-secondary institution.
  • Schedules and books designated departmental meeting room as required.
  • Prints daily room booking information for distribution to Janitorial Services.
  • Ability to work effectively in a team environment and to be resourceful and organized.
  • Distributes work orders as appropriate to facilities staff.
  • Corresponds with the Security Operations Center on various issues and emergencies.
