Overview
Butterfield & Robinson’s continued success depends on the seamless execution of our departures, ultimately resulting in satisfied returning travellers. Trip Managers are responsible for ensuring the highest possible quality in the operation of B&R’s Scheduled and Private departures in their assigned regions. They collaborate with the trip designers, suppliers, and guides to maximize logistical efficiencies while meeting our profitability requirements.
Objectives and Responsibilities of the Trip Manager:
Support the assigned Regional Teams with the following duties and responsibilities:
·Ensure that all trip information provided to guides and DMCs partners, including traveller information, is up to date and accurate;
·Ensure that all vendor bookings are complete, and costs are accurate;
·Manage all supplier payments, as well as Guide and Route Worker expenses, and track and detail variances to the trip budget;
·Coordinate all requirements of route work and on-trip logistics with Regional Directors and guides, ensuring the accuracy and completeness of all trip materials;
·Ensure departures and costings are logistically and financially sound (transfers, timing, van/guide ratio, guide travel to region) and ensure financial summary is accurate upon trip completion;
·Work with Regional Team to manage hotel room requests, releases, upgrades, and cancellations for Scheduled Trips;
·Provide leadership and act as front-line support for guides in the event of an on-trip incident;
·Ensure that trips are planned and run according to risk management protocol (including management of contract and collection of insurance documentation when required); and
·Ensure that all post-trip reporting is complete and accurate.
The ideal candidate will have the following skills and qualifications:
·Meticulous organizational skills, high attention to detail and the ability to think proactively;
·Comfort in a constantly changing environment;
·Knowledge of regions and countries where we travel and understanding of luxury active travel is an asset;
·Strong administrative skills, with particular strength in Microsoft Excel and other Microsoft applications;
·Solid financial management skills with and experience in maintaining a budget;
·Strong interpersonal skills, experience managing cross-cultural and geographically dispersed teams;
·Managerial, team building and training aptitude with ability to motivate others;
·Excellent written and verbal communicator; and
·Enthusiastic and professional attitude.
Scheduling Note
We are a travel company and therefore our busiest times of the year are based on our travellers’ preferences. It is important to recognize that a candidate must be available to their Regional teams during those peak seasons and that their schedule will be adjusted accordingly.
