The Opportunity


Duties Include, But Are Not Limited To


The Centralized Staffing Office (CSO) provides staffing and scheduling support to the three clinical programs (Mental Health & Addictions, Women’s & Newborn Health, Children’s Health) and Pathology and Lab Medicine. Reporting to the Manager of Centralized Staffing, the Staffing Clerk will provide staffing support to the staffing coordinators and administrative support to the Manager and CSO.


Scheduling/Staffing Duties: Ensures all shifts are covered and the needs of the unit/department are met. Will also be responsible for managing staff inquiries concerning their schedule and rotations.


Payroll Duties: Assists Staffing Coordinators with payroll entry as operationally required. Process shift changes and short-term vacation requests, as well as respond to employee inquiries.


Administrative duties: Assist the Staffing Coordinators with the printing and delivery of daily flow sheets and availability reports for their respective units/departments. Will also be responsible for updating call-out lists with phone numbers and seniority dates. The incumbent will also assist the Manager with the collection of data regarding information such as overtime, sick time, replacement cost, and work load (Emerald). Additionally, the Staffing Clerk will assist the Manager with computer applications and various clerical duties including ordering supplies, maintenance requests, and other related duties as required.


Hours of Work


Rotational shifts as required between the hours of 07:30-18:00


Your Qualifications


  • High degree of initiative, diligence, attention to detail, and self-discipline/focus.
  • A combination of equivalent education and experience may be considered.
  • Graduate of a recognized Office Administration Program required.
  • Competency in other languages is an asset.
  • Previous experience working with Kronos Workforce ESP application suite and SAP preferred.
  • Experience in a healthcare setting is an asset.
  • Demonstrated commitment to Family Centred Care required.
  • Minimum of six (6) months related experience required.
  • Minimum High School Diploma or GED required.
  • Excellent organizational skills & flexibility in meeting workload demands.
  • Strong critical thinking and problem-solving skills.
  • Working knowledge of Microsoft Office and other computer programs/technology required (testing may be conducted on candidates).
  • Proven team player with excellent communication and interpersonal skills required.
