As a member of the Revenue Services team, reporting to the Supervisor, Account Administration, this position is responsible for the effective and efficient processing of Ownership and Mailing address changes to Tax and Utility Accounts, generating of Tax and Utility Certificates, initiating of service orders or final reads in Utility and processing of Mailing Designate forms. This position is also responsible for performing clerical services by processing journal entries, reviewing Tax and Utility accounts, and answering enquiries on the phone and or the counter.
Major Responsibilities:
- Prepares service orders.
- Searches and verifies records for the issuance to tax/water certificates, checks journal entries regarding charges, payments, etc.
- Answers telephone and counter enquires regarding new water/tax applications and billings, meter and rate requests, new accounts, supplementary bills, assessment review, penalties, discounts related to tax bill etc.
- Calculates, verifies, realty tax adjustments and forwards to supervisor/coordinator for corrections.
- Updates Metered/Flat Rate Water accounts in Tax/Water Management and Collection System (TMACS/WMACS).
- Initiates tax/water account updates containing premises address, account number, transaction code, terms involved.
- Issues agent agreement forms where owner is not the occupant. Prepares letters for invalid agent agreement forms received.
- Processes credit balances for tax and water accounts. Prepares entries to be forwarded to supervisor/coordinator for approval.
- Extracts information from Tax/Water Management and Collection System (TMACS /WMACS) to verify property address and account number on receipt of requests for New Service Reports from the Department of Public Works, lawyers, owners, agents, etc.( i.e extracts information for the purpose of generating tax and utility certificates and processes online tax , utility certificates).
- Prepares new accounts for Metered/Flat Rate premises using Inspector's reports to calculate billings.
Key Qualifications:
Your application must describe your qualifications as they relate to:
- Experience in providing administrative support in a corporate environment.
- Experience using Microsoft Office Suite, (e.g. Word and Excel).
- Experience inputting, verifying and retrieving data.
- Experience with customer service dealing directly with the public, in person and/or by telephone or mail.
You must also have:
- Excellent communication skills.
- Ability to work independently with minimal supervision, prioritize work schedules and complete assigned duties within timelines.
- Excellent organizational, analytical and multi-tasking skills with the ability to meet deadlines and assess priorities.
- Ability to create and format reports and correspondence.
- Interpersonal skills and the ability to deal effectively with all levels of staff, councillors, the public and external contacts in person, by telephone/fax and in writing.
- Ability to plan and organize appointments, meetings, etc.
- Ability to exercise independent judgement and discretion in dealing with confidential operational matters and management staff.
- Knowledge of legislation, regulations, bylaws, policies and procedures that relate to the Certificates and Ownership/Mailing address.
