Job Description


We are a 50 year old family business that owns and operates multiple commercial and industrial properties comprising over 500,000 square feet. Our diverse portfolio of properties includes community shopping centres with national tenants, industrial buildings and a small amount of residential property. We also operate over 30 retail stores across the greater Toronto area. Many of our store locations are leased, which makes us tenants to some of the biggest landlords in Canada.


The Position:


We are seeking an experienced commercial property administrator who is comfortable playing the role of landlord and tenant as circumstances dictate. Responsibilities will include lease review and summaries, accounting activities including billings, rent payments, deposits and collections, CAM and realty tax budgeting and reconciliations, arranging for property repairs and maintenance and operating expense reviews. Excellent communication skills, both oral and written, are paramount as is the ability to deal effectively with both landlords and tenants.


Specific Duties:

· Responsible for providing administrative support inclusive of email management, phone management and office functions

· Liaise with building staff, office staff, tenants, landlords and contractors/vendors in a professional, courteous and efficient manner.

· Obtaining quotes for repair work and contract renewals

· Assist with preparations of office documents and maintaining filing and record systems

· Review Lease packages for accuracy before filing in tenants’ files.

· Prepare and distribute documents as directed by GM and PM.

· Update and maintain all tenant related information

· Code invoices for Accounting teams

· Oversee accounting for billing, rent payments, deposits and collections for commercial tenants

· Assist in preparation and distribution of monthly reports to Management Team

· Assist in preparations of Year end and Audits for Accounting

· All other duties as assigned


Required Knowledge and Skills:

· 1- 3 years of office administration, experience in commercial property management is an asset

· Post-Secondary education with a degree or diploma preferred

· Knowledge of commercial leasing and commercial recovery procedures

· Excellent English oral and written communication skills

· Strong prioritizing skills and the ability to multi-task and meet deadlines

· Knowledge of the Microsoft Office suite of programs with superior knowledge of Excel and Word

· Working knowledge of building systems operation and building maintenance
