Summary


The Commercial Administrator will report directly to the General Manager for PENTAX Canada Inc. While the majority of responsibility will be in day-to-day projects coordination for Marketing & Sales, the incumbent will also provide some Executive level administration for the Chief Commercial Officer – Americas, and their direct Manager (GM-PCI). In addition, he/she will also work cross functionally with the senior leadership team on various projects, events and activities spanning: Sales, Marketing, Operations, Finance, and Human Resources.


Main Responsibilities/Main Tasks


  • Manage travel and other expenses for events according to budget
  • Create staffing requisitions for job vacancies and coordinate the appropriate approvals
  • Coordinate all logistics for events held both onsite and offsite including: National Sales Meetings (NSM), Marketing Conferences and Trade Shows, Leadership Team Meetings, Town Halls, Lunch & Learn Workshops, etc.
  • Coordinate team events and activities alongside of internal Committee Sponsors (e.g.: Social/Wellness Committee, Joint Health & Safety Committee, etc.).
  • Assist in preparing and coordinating onboarding and orientation schedules, and Welcome Packages for new hires
  • Assists with Request for Proposal (RFP) coordination; takes a lead role organizing and tracking RFP assignments to RFP team, assisting with scheduling tracking meetings, flagging key areas for response, tracking deadlines and completion, consolidating all portions of the responses and helps uploading required documentation to the RFP portal.
  • Assist Sales & Marketing departments with administrative tasks such as coordination of internal approvals for new product launches, routing of marketing materials approvals, etc.
  • Prepare spreadsheets and provide high level analysis on data gathered
  • Provide executive administration for the CCO - Americas including: triaging priority emails and required approvals, booking travel arrangements, administering expenses in Concur, preparing and distributing agendas and meeting minutes/action items, etc.
  • Prepare slide decks for various meetings, independently gathering and utilizing material from various sources
  • Assist the Sales/Marketing teams with organizational and tactical activities in support of Sales/Marketing plan execution including: Marketing and Promotional Calendar assistance – Trade Show/Conference Tracking, and other Commercial Operations calendars
  • Coordinate Tradeshow and Conference planning files, coordinate company registrations, booth, collateral, and equipment details and communicate with conference staff to arrange all details
  • Maintain relationships with various vendors and place orders as necessary (e.g.: business cards, promotional items, scrubs, coffee machine, office supplies, etc.)


Qualifications - Education/Experience Levels/Skills And Expertise

  • Intuitively considers process improvements and creates more efficient ways of doing things.
  • Advanced level ability in MS Office (Word, Excel, PowerPoint, Outlook); ability to learn navigation of systems easily (e.g.: ERP, Concur, etc.)
  • Completed University or college degree/diploma specializing in business studies is preferred; good understanding of Marketing concepts and Sales processes
  • Minimum of at least 3 years of experience in a similar role supporting Sales & Marketing
  • Demonstrates strong attention to detail
  • Propensity to learn quickly
  • Excellent communication skills (orally and written); ability to interact easily and confidently both internally (including with senior Executive) and externally with vendors, customers, etc.
  • Ability to work under pressure with simultaneous deadlines
  • Experience with document management, and tracking various budgets
