Job Description

Overall duty of this position is to provide day-to-day administrative and project support for both internal and external clients within the Non-Destructive Testing operations. The Administrative Assistant assists with a variety of standard office procedures including timekeeping and data entry.

 

  • Assists with the distribution of company supplies to project sites and Technicians.
  • Supports collection of weekly site timesheets and preparation of weekly site data (Miterfinch/Fobbing) entry and exception reports for payroll purposes.
  • Prepares and organizes client files.
  • Updates and maintains various documentation as it relates to office or individual projects.
  • Assists with setup of site personnel flights and fleet management.
  • Adheres to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
  • Maintains office supply inventory and orders supplies in a cost-effective manner.
  • Collects and audits weekly expense reports.
  • Coordinates all mail and deliveries/shipments including arranging couriers when required.
  • Requests safety training for Technicians.
  • Other duties may be assigned as deemed necessary.
  • Provides back-up support for the Operations team.
  • Assists with onboarding activities.
  • Coordinates travel and accommodation bookings for Technicians.

 

  • Post-secondary education in Office Administration from an accredited College.
  • Equivalent experience combined with other formal training and accreditations may be accepted.
  • Requires a valid Nuclear Security Clearance or an ability to obtain security clearance, within the first three months of employment.
  • 2-3 years’ experience in office administration.
