- Ensure adequate office supplies and miscellaneous goods are available for the Site team.
- Format documents, spreadsheets and power point slides for the project team.
- Coordinate business services including mail and couriers, office supplies, local accommodation and transport suppliers.
- Coordinate travel arrangements for project staff.
- Coordinate the administration for projects including preparation of documents according to company style guidelines, word processing, following up on outstanding requirements, proof reading, document presentation including binding, managing project calendars.
- Must be proficient in taking minutes.
- Manage confidential documents in accordance with Worley policies and procedures.
- Partake in meetings (contribute, taking minutes, filing of minutes, etc).
- Organize team events and offsite meetings.
- Ergonomic contact - arrange requests to get ergonomic setup and follow up on action items.
- Book facilities & equipment, catering.
- Submit IT requests.
- Maintain confidential records and filing of reports, correspondence, statistics and related material for ease of retrieval.
- Liaise between office locations to ensure procedures are followed and requests are processed.
- Filing – both hard and soft copies, maintain a register for easy reference.
- Source internal and external documents.
- Typing speed of at least 50 wpm.
- Knowledge of the Oil & Gas Industry would be an asset. Daily commuting may be required depending upon home location of successful candidate.
- Deadline and detail oriented with the ability to work independently.
- Well organized with the ability to keep a multitude of tasks, documents and processes in an organized system.
- Be flexible to work on a wide variety of projects, tasks and assignments, combined with changing prioritizations.
- Excellent interpersonal, verbal and written communication skills.
- Previous experience in an Engineering environment will be highly regarded.
- Ability to prioritize workloads and the flexibility to manage multiple tasks and deadlines.
- Proficiency in the MS Office Suite: Outlook, Word, Excel & PowerPoint.
- Minimum of five (5) years direct experience in a project administrative role.
