We are currently seeking an experienced Senior Administrator to replace a long-standing member of the team that is retiring. This position is based out of the Edmonton, Alberta office and is a permanent, full-time position. In this position you will work with a team of recognized industry experts within our Track Assessment Services group.
Some Of The Responsibilities You May Have:
- Arrange flights and book accommodations and vehicles for staff travelling to and from the field
- Maintain confidentiality in all interactions, as required
- Provide weekly project financial update for review
- Create and manipulate PDF documents using features of Adobe software to assemble documents and insert links and bookmarks
- Format and proofread reports, proposals, and correspondence to help deliver exceptionally accurate documents that comply with corporate standards
- Take and distribute meeting minutes
- Assist with creating and submitting expense reports
- Assist group staff with questions or issues, as needed
- Maintain good working relationships with Sector and Branch Administrators
- Work with group administrative assistants on assigned tasks/projects to become familiar with the different Groups/Practices/Regions of Tetra Tech’s business
- Provide requested project reports, as requested
- Evaluate where administrative assistance could be provided to alleviate administrative burdens on project managers
- Follow up on outstanding invoices
- Manage client experiences – organize lunches, booking meetings and hotel rooms, etc.
- Complete TAS group updates when new staff are added or when they leave (machine assignment, EVAC, contact information, file storage, etc.)
- Assist with proposals and memorandums, with broader responsibilities and opportunities available as you become more familiar with Tetra Tech
- Organize and maintain Project Management files
- Edit technical reports – correct grammar, proofread and compile information – ensure consistent text and figure details
- Be an active member of the safety team, providing JHSC meeting bulletins to the team
- Upload and edit departmental documents to SharePoint
- Maintain the project archive and document library
- Assist with new staff orientation and safety requirements (including office set up, machine assignment, software installation, etc.)
- Facilitate file management for projects
- Complete project initiation activities and update databases and financial spreadsheet
- Complete other administrative tasks as assigned by Manager and Branch administrator
Qualifications That Would Make You a Great Candidate:
- Good time management skills, the ability to work with minimal supervision and the ability to contribute to the project by being a team player
- Completed a degree/diploma in Business Administration and at least 5 years of experience directly supporting diverse teams
- Must be legally entitled to work in Canada without sponsorship
- Excellent interpersonal and communication skills (oral and written)
- Highly experienced computer skills: Microsoft Word, Excel, Outlook and Adobe
- Ability to work independently and with a team in very fast-paced environment

A requirement of working for Tetra Tech is that you are at least 18 years of age and legally entitled to work in Canada without sponsorship. (A copy of a valid work permit may be required.)
To meet the physical demands required of some positions, candidates must be in good physical condition and willing to work in all weather conditions. Clearance on pre-placement medical and drug and alcohol testing may be required but will be explained during the recruitment process if they are necessary. As this position may be serving clients that have vaccination requirements for site access, we may be confirming your eligibility to comply with this requirement.
