We are looking for a full-time Project Administrator to join our team.This is a very diverse job, with lot of variety, requiring the ability to multi-task and prioritize work effectively.Exceptional organizational skills with high attention to detail are required to support the dynamic flow of information.This role will report directly to our Operations Controller.
Key Duties and Responsibilities:
Project Tracking and Documentation
- Maintain/updates project specific documents such as reports, work orders, schedules, timesheets, ad hoc reports, and other resource planning tools.
- High volume of reports and documents received, tracked, and processed daily.
- Adherence to strict deadlines and specifications for report submissions to customers.
- Compile weekly project specific summaries/updates for coordinator in a professional manner.
- Perform daily administrative tasks as assigned
Project Financial Administration
- Provide analysis and back-up for job costs and revenues
- Confirm all scheduled work has been completed and all costs appropriately coded by reviewing reports, timesheets, and various backup.
- Other duties as assigned.
- Process, post and deliver accounts receivable invoices
Knowledge, Skills, and Abilities Needed
- Excellent written and verbal communication skills
- Excellent demonstrated technology skills are essential: Word, Excel, and PDF editing; along with an ability to assist in problem solving a variety of tech issues with our field staff.
- Construction experience is not required but would be considered an asset.
- Enthusiastic and committed to getting the job done while meeting deadlines in a fast paced, high-performing environment.
- Highly motivated with strong attention to detail and accuracy
- Familiar with cloud-based storage systems such as Dropbox, SharePoint, OneDrive, etc.
- Experience in Jonas Accounting software is an asset
- Strong people skills and team player
- A positive mindset and can-do attitude
