Job Description
Position Summary


The Project Accounting Administratorprovides vital administrative support services in a fast-paced and detail-oriented environment for the Site Manager and management team. This role is essential in ensuring efficient, timely, and professional assistance for day-to-day site operations.


Primary Responsibilities:


  • Manage highly confidential, sensitive, or critical information, files, records, and reports.
  • Deliver timely and accurate administrative support to the Site Manager and management team.
  • Proactively support the Site Manager's time conservation efforts and exercise a high level of discretion when handling client, manager, employee contacts, and confidential or sensitive information.
  • Gather, condense, evaluate, and examine information to create correspondence and address inquiries from various internal and external sources.
  • Manage invoices and expenses.
  • Oversee daily timekeeping for all site employees in both company and client time systems.
  • Create and maintain weekly/monthly reports as required by the Site Manager.
  • Oversee records management in accordance with the Client File Management System.
  • Coordinate meetings by preparing agendas/action items, reserving meeting rooms, and setting up audiovisual equipment.
  • Recommend strategies for continuous improvement.


Qualifications:


  • Ability to comprehend, interpret, and effectively execute oral and written instructions with minimal direction and supervision.
  • Excellent communication skills and a commitment to caring for people.
  • Strong organizational and time management abilities.
  • Capacity to handle stress effectively.
  • Aptitude for interacting effectively with individuals in a diplomatic and informative manner.
  • 3-5 years of experience as an Administrative Assistant.
  • Proficient computer skills – MS Office Suite, enterprise software (SAP, Avantis, etc.), and payroll data entry.
  • Experience working with confidential information.
  • Capable of working under tight deadlines in a fast-paced environment.
