Job Description

The Project Accounting Administrator plays a critical role in delivering administrative support services within a dynamic, detail-focused setting for the Site Manager and leadership team. The position is crucial in ensuring prompt, professional assistance for everyday site operations.


Key Duties:


  • Administer invoices and expenses.
  • Offer prompt and precise administrative assistance to the Site Manager and leadership team.
  • Shift: 4/10s
  • Organize meetings, including agenda/action item preparation, booking meeting rooms, and setting up audiovisual tools.
  • Handle confidential, sensitive, or critical data, files, records, and reports.
  • Manage records in line with the Client File Management System.
  • Supervise daily time recording for all site staff across both company and client time systems.
  • Propose strategies for ongoing improvement.
  • Hours: 10 hrs. per day
  • Actively aid the Site Manager in time-saving measures, exhibiting utmost discretion when dealing with client, manager, employee contacts, and sensitive or classified information.
  • Generate and keep up with weekly/monthly reports as mandated by the Site Manager.


Requirements:


  • 3-5 years' experience in an Administrative Assistant role.
  • Experience in handling confidential data.
  • Ability to manage stress effectively.
  • Competency in computer skills – MS Office Suite, enterprise software (SAP, , and payroll data entry.
  • Strong communication skills and a dedication to serving others.
  • Solid organizational and time management skills.
  • Proficiency in understanding, interpreting, and effectively executing oral and written instructions with minimal guidance.
  • Ability to work under pressure to meet tight deadlines within a fast-paced setting.
  • Capability to communicate effectively and diplomatically with diverse individuals.
