Accountable to: The Payroll Clerk is managed by the Chief Financial Officer (CFO).
Hours of work and term: Full-time: 35 hours per week.
Job Classification: Grade 4 - $18-$24/per hour.
Job Purpose: The purpose of this position is to ensure the Payroll and associated functions are provided in compliance with the Upper Nicola Financial Administration Law, Personnel Policies and Procedures and Federal Labour Code legislation.
Key Responsibilities:
Provides a full range of Payroll related functions including:
1.Process all timesheets and conduct payroll functions for all staff (using direct deposit and/or cheque).Reconcile payroll accounts to the general ledger.
2.Create new employees in the payroll system.
3.Check coding of all timesheets and expenses, liaising with the appropriate manager to correct any error or omissions.
4.Maintain electronic records of employees’ attendance, leave and absence.
5.Calculate benefits and other entitlements as required.
6.Process documents for employment insurance Records of Employment (ROEs) etc.
7.Undertake payroll filing and provide assistance to staff and managers on PR matters.
8.Ensure hard copies of payroll records are filed appropriately, confidentially and securely.
9.Assist AP to process for payment, all expenses and honoraria for staff, Chief and Council and community members.
10.Prepare government reporting and remittances, such as WCB and source deductions.
11.Run monthly ad hoc reports from the payroll system for managers as authorized.
12.Assist in the investigation of queries about payroll and/or expenses (dealing with staff members, managers and expense claimants).
13.Provide accounts payable and/or receivable services in the absence of the Accounts Payable Clerk only as requested by the CFO.
14.Assist with the alarm system for the building, following agreed procedures.
15.Comply with all applicable legislation and UNB policies and procedures including the Financial Administration Law.
16.Other appropriate duties as required by the CFO.
Qualifications and Experience
1.Grade 12 completion required.
2.Completion of a bookkeeping or payroll course is required.
3.A minimum of two years' experience in a payroll function is preferred.
Knowledge, Skills and Abilities
1.Must be familiar with the use of Xyntax Software or be willing to be trained.
2.Knowledge of general accounting procedures and proficient in data entry.
3.Must be able to work independently and in a team environment, work well under pressure, meet deadlines and pay close attention to details.
4.Be extremely well organized.
5.Possess good judgment, tact, strong interpersonal skills and demonstrate initiative.
6.Must be able to maintain confidentiality.
7.Must be able to relay information in a calm, polite, respectful and accurate manner.
8.Must be willing to undertake training and refresher courses to maintain good practice.

Working Conditions:
This position is office-based and requires periods of concentrated effort and attention to detail, The position requires dealing with people in relation to sensitive financial issues.
