We are currently recruiting for a Payroll and Benefits Specialist for one of our dedicated clients in retail sector in GTA. This is a temporary to permanent position with an opportunity to join a dynamic team. As a Payroll and Benefits Specialist, you will play a crucial role in ensuring accurate and timely payroll processing while maintaining operational standards and adhering to department policies and procedures. Your attention to detail, knowledge of payroll legislation, and ability to handle confidential information will be key to your success. The first few weeks or a month will be onsite after that it will be a hybrid model(3 days office, 2 days home) offering work life balance.
Responsibilities:
- Validate time and attendance records in ADP's system.
- Stay updated on payroll legislative changes and maintain professional knowledge.
- Prepare and submit quarterly reconciliations for payroll (W2, T4, T4A, etc.).
- Conduct monthly benefit billing and reconciliation processes.
- Ensure accurate employee records in the ADP payroll database and POS system, including new hires, salary changes, and terminations.
- Support special projects as needed.
- Configure payroll reports using ADP's report writer, create and modify spreadsheets for various payroll transactions, and conduct payroll analysis as required.
- Process bi-weekly payroll accurately for 250+ hourly and salaried employees and on time using ADP's Workforce Now, maximizing efficiency and following established operational standards.
- Manage vacation and sick time reporting and reconciliation, ensuring compliance with company policies and the utilization of outstanding vacation within the calendar year.
- Serve as a liaison with government agencies, handling internal and external audits, including CRA, WCB, and US state requirements.
- Respond to emails and phone calls from employees and managers regarding payroll, benefits, hours, sick pay entitlement, or statutory holiday pay.
- Generate quarterly bonus and monthly commission files for importing into ADP.
- Assist with the management and execution of the benefit enrollment process, ensuring accurate documentation and record maintenance.
- Provide timely responses to inquiries from finance, managers, employees, government agencies, and third-party organizations, utilizing your knowledge and interpretation of policies, procedures, and legislation.
- Provide vacation usage and outstanding reporting to managers throughout the year.
- Ensure timely submission of all annual returns (W2, T4, T4A, Relevé 1, EHT, WCB, etc.).
Qualifications and Skills:
- Strong team-oriented leadership style with the ability to work effectively with diverse groups of people.
- Self-awareness and a desire for continuous self-improvement.
- Previous experience processing US payroll using ADP Workforce is an asset.
- Excellent interpersonal and communication skills, both verbal and written.
- Ability to work independently while keeping others well informed.
- Highly driven, with a track record of taking initiative and producing results in a deadline-driven environment
- Knowledge of ADP Workforce Now and Time & Attendance systems.
- Minimum of 3-5 years of previous payroll experience. Retail environment experience is preferred but not necessary.
- Demonstrated success in a multitasking, deadline-oriented environment, with accurate decision-making and prioritization skills.
Nice-to-Haves
- Payroll Compliance Practitioner (PCP) Certificate preferred.
- Advanced proficiency in Excel
