Our team is seeking an Operational Scheduling Coordinator who will play a key role in the day-to-day operations and scheduling of our CBSA contract. This position will be responsible for scheduling, processing clearances, and coordinating training as required. Reporting to the CBSA Site Manager and Administrative Team Lead, the Operational Administrative Assistant will take charge of all the administrative and scheduling duties for the CBSA contract to support HR, Payroll, and Operations. The ideal candidate for the role should possess exceptional attention to detail organizational skills, you will work closely with our Operations and HR Team. Your primary responsibilities would involve tasks listed below.


Responsibilities


  • Ensure scheduling compliance in accordance with the ISO 900 requirements.
  • Prepare, manage, and coordinate all the scheduling activities for different sites in the lower mainland area.
  • Use scheduling software to input client requirements and update employee schedules.
  • Collaborate and communicate with Site Operations, HR, and Scheduling in timely manner.
  • Collaborate with the team to reduce overtime by seeking and applying scheduling knowledge.
  • Assist HR and Operations with necessary administrative tasks.
  • Complete ad-hoc scheduling reports for the Team Lead or Director of HR and Admin.
  • Ensure all sites and zones are covered as requirements and update employee schedules.
  • Ensure a high level of accuracy of data input into the scheduling program, ensuring that new or more accurate information is diligently input, and all input deadlines are met.
  • Provide exceptional customer service to employees and clients.
  • Schedule the selected candidates for their training and weekly schedules using company software.

Qualifications


  • Excellent oral and written communication skills
  • Post-secondary education
  • Have a clean criminal record and willing to obtain the Public Works Clearance.
  • 1 to 2 years of experience in an administrative role.
  • Be eligible to work in Canada
  • Advanced knowledge of Microsoft Word, Excel, and Outlook
