About the Position:


Company Information


At Double-O Permits & Project Services Inc., we specialize in Overdimensional permitting. While this is our specialty, it does not stop us from helping Heavy Haul carriers in any other temporary permitting needs from trip & fuel permits to temporary New York HUT permits and assist with scheduling of pilot cars, utilities and/or police escorts. We are here to provide our customers with over 2 decades of heavy haul transportation experience and knowledge and help them with any type of move. Our goal is to bring simplicity to permitting and we strive on being honest and knowledgeable as transportation consultants.

We are a rapidly growing company with great potential for advancement & growth. We are dedicated to continually providing our clients a quality customer service to meet and exceed their needs and the industry standard. And we are expanding! We are looking for a highly motivated and hardworking Office/Administrative Assistant to join our team.

Major Duties


  • In this role, you will be responsible, but not limited to, providing support to the Accounting Manager and the operations team in a fast-paced, multi-tasking environment. You will assist in performing accounting and administrative tasks, as well as other general office administration duties.


Specific Responsibilities


Support the Accounting Manager and Operation Manager including:

  • Maintain and stock office equipment and inventory of office supplies;
  • Prepare documents, compose and draft correspondence, as required by management;
  • Transfer work orders to central data base;
  • Provide logistical support, as required, for projects and special events;
  • Support the Accounting Manager with basic bookkeeping duties i.e.; assisting monthly reconciliations, data entry of payables,
  • Assist in producing invoices, prepare deposit, posting payments and follow up on late payments;
  • Completing and filing paperwork and digital documents, uploading files to centralized data base;
  • Other duties as assigned.
  • Assist with answering calls and direct clients accordingly;


Qualifications


Education


  • Post secondary education in Administrative Support, Office Administration, Bookkeeping or Business, a definite asset; or a minimum of 2 years related experience;
  • A grade 12 diploma or equivalent;

Experiences and Skills


  • Patience to do work of a repetitive routine nature;
  • Excellent English communication skills required, both written and oral, French an asset;
  • Excellent organizational skills, with a strong attention to detail;
  • Ability to work with minimal supervision and demonstrate initiative is mandatory
  • Advance knowledge of Microsoft Office, specifically Excel;
  • Experience working for a small sized company;
  • Knowledge of Sage 50 Accounting and/or AccountEdge an asset;

Salary


  • Experience and skills base.
  • $40,000 - $48,000;
