Director, Administration and Corporate Secretary

Business Link is a not-for-profit and government-funded organization responsible for serving entrepreneurs and small business owners and operators in Alberta. Founded over 25 years ago, Business Link has served thousands of companies and organizations through webinars, events/conferences/symposiums and direct one-on-one consultation. The Company has offices in Calgary and Edmonton and is looking to expand to co-locations in Red Deer, Grande Prairie, and Lethbridge. In addition to providing services, the Company also manages funding programs on behalf of the Government of Alberta and the Government of Canada. Business Link partners with many other organizations in the Alberta small business ecosystem.

Job Statement

As the Director of Administration, you will play a vital role in overseeing the administrative functions of Business Link. As a trusted leader, you will provide support to our employees and the government-appointed board of directors. Additionally, as an integral member of the senior leadership team (SLT), which consists of the Executive Director, Director, Marketing and Communications, Director, Operations and Client Services, and Controller, you will actively contribute to planning, staffing, implementing, and evaluating various business systems, company policies, and corporate administration.

ROLE COMPONENTS


Premises Management

  • Managing all employee workspaces (“Work Nicer” in Calgary and Edmonton & co-working
  • Move out of our existing office in Edmonton to the “Work Nicer” space
  • Spaces in other areas)


IT Systems

  • Training all employees on Sharepoint, TEAMs and other Corporate IT Systems (ZOHO)
  • Procuring Computer Systems for all employees
  • Engaging and managing IT Service Provider (an RFP is going to be the starting point)


All-Hands Meetings and Coordination

  • Management of logistics and quarterly in-person “All-Hands” Meetings
  • Management of logistics for all bi-weekly townhalls


Human Resource Management

  • Health benefit management
  • Implementation of HR System (i.e. Bamboo)
  • Maintain Professional Development Plans for all employees
  • Payroll
  • Pension management
  • Training and Maintenance Employee Handbook (online)
  • Recruiting, Job Postings and on-boarding
  • Monthly Reporting
  • Creation, Management and Monitoring Compliance with all Policies, including but not limited to the following: Work-from-home and work-at-office Policy, Vacation Policy, Sick Days Policy, Code of Conduct and Respectful Workplace Policy, Whistleblower Policy, Workplace Compliance, Investigations, Discipline & Conflict Resolutions Policy, Intellectual Property Policy, Communications and Disclosure Policy, Collection of and retention of Personal Information Policy.
  • Quarterly Review Process
  • Maintenance of all Personnel Files


Accounting and Finance

  • Support where needed
  • Back-up on payroll processing


Government Compliance and Reporting

  • Complete quarterly, annual, and ad hoc reports for government funders


Corporate Secretary

  • Maintenance of all Corporate Records
  • Board Communications
  • Board and Committee Scheduling
  • Board and Committee Support – as required
  • Maintenance of Board Portal – Board Member Training


People Management and Leadership

  • Performance evaluations
  • Organizational priorities
  • For individual and team achievement
  • Develop performance and professional development plans for each direct report, and conduct
  • Participate in ongoing professional development related to the position and organizational
  • Champion change and growth by embracing and supporting new initiatives and showing strong
  • Excellent communication skills with a focus on clarifying expectations for your team
  • Collaborate with Business Link Senior Leadership Team (SLT) and staff
  • Leadership experience inspiring, coaching, training, developing, and onboarding team members
  • Demonstrated ability in developing and aligning your team’s strengths, skills, and talents with

Qualifications

  • Strong business acumen and an understanding of small business and entrepreneurship
  • Thrive in a changing environment where the needs of the client or organization are always
  • Natural relationship builder and connector
  • Degree in Business or a related field with at least 10 years of professional working experience
  • Excellent communicator
  • A minimum of 5 years as a member of an executive (Director-level) team
  • Understanding and experience in Human Resource Management and systems
  • You have no problem using and learning new technologies
  • High-level of proficiency and experience working with Quickbooks, Microsoft Office, Teams and
  • SharePoint
  • Previous entrepreneurial, business incubator and/or accelerator experience
  • Evolving


Compensation and Benefits

  • 6 paid sick days
  • Paid Christmas break (office closed Dec 24 – Jan 1)

  • Salary range: $85,000 – $95,000

Other Considerations
