Job Summary

The Manager, Finance and Administration is a forward-thinking individual who is responsible for all administrative functions and financial requirements of the CFAN. The position plays a key role in developing and implementing short- and long-term business strategies and objectives for the CFAN.

This position is a key member of the Senior Leadership Team and, as such, works closely with the Executive Director to support the daily operations of CFAN, including those related to finance, human resources, facilities, information technology, and contracted services, and ensures staff have the resources necessary to succeed while developing operational efficiencies. This position will make meaningful contributions to all aspects of CFAN, including risk management, long and short-term strategic planning, budgeting, team collaboration and leadership, and acts as an ambassador for CFAN at all levels of public engagement.

The role requires a proactive and flexible approach, high-level administrative responsibility, and the ability to manage multiple tasks and functions. The successful applicant will have a strong background in finance, human resources, and operations management, as well as demonstrated experience working in the not-for-profit sector. The Director should possess strong ethical integrity and knowledge to promote diversity and inclusion strategies.


Duties and responsibilities

The Manager of Finance and Administration is anticipated to allocate their time to the tasks below. However, they have the flexibility to manage their own task list according to the needs of the agency. They are invited to communicate with the Executive Director about any changes to the following task list according to their experience in the position.


Finance (75%)

  • Ensures financial controls, policies and processes are in place to safeguard the financial resources of CFAN and leads the ongoing evaluation and improvement of all financial systems and controls;
  • Maintains grant files, including applications, correspondence, and related reports;
  • Develops annual and long-range financial forecasts and maintains long-range financial plans, including balance sheet, statement of operations and cash flow forecasts to ensure that the ongoing and future financial needs of CFAN are met;
  • Develops reporting tools to ensure that the Executive Director, Senior Leadership, and the Board of Directors have adequate information to assess the financial results and ongoing financial needs of CFAN;
  • Prepares all required statutory reports and remits all taxes to the government as required;
  • Prepares draft year-end financial statements and manages the auditing process with the external auditor;
  • Works with the Executive Director, Senior Leadership and the Board of Directors in the development of annual and three-year financial budgets;
  • Manages banking relationships and acts as the liaison between CFAN and bank personnel;
  • Attend Finance Committee meetings as required.
  • Handles all bookkeeping on a day-to-day basis, including preparation of monthly financial statements and provides a summary of changes month over month;
  • Assists management with the preparation and processing of grant applications;

Operational Management (IT, HR, Facility, Administration) (20%)

  • Oversees all facility management activities and liaises with facility landlords;
  • Provides oversight of CFAN’s information technology support and liaises with contracted service providers.Manages CFAN’s insurance arrangements and the annual insurance renewal process to ensure appropriate coverage;
  • In collaboration with the Senior Leadership Team, maintain a positive, healthy, and safe work environment in adherence to relevant legislation and regulations.
  • Ensures compliance with all regulatory requirements relating to and provides risk assessment and compliance advice to the Senior Leadership Team;
  • Oversees overall administrative activities and joint supervision of the Community Engagement and Administrative Coordinator.
  • Ensure compliance with human resource policies and procedures.
  • Supervision of the HR Generalist and related activities;

Strategic Management (5%)

  • Participates in the strategic planning process for CFAN as part of the Senior Leadership Team and shares responsibility for achieving the goals outlined in Strategic Framework.

  • Compliance with all mandated legal/regulatory requirements related to working at CFAN;


Qualifications

Education:

  • Undergraduate Degree in a related field;
  • Professional accounting designation in process or completed.

Experience:

  • Professional experience in the not-for-profit sector is considered an asset;
  • Proven experience in accounting, administration, human resources, and office management;
  • Demonstrated leadership, supervisory and team-building skills to inspire others and assist them in reaching their full potential in meeting

Skills:

  • Ability to work in a complex environment, with competing priorities and deadlines, and excellent time management skills;
  • Strong written and communication skills;
  • Professionalism and the ability to maintain a high degree of discretion and confidentiality;
  • Strong critical thinking capabilities with the ability to solve problems of moderate complexity in a timely and logical manner;
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and QuickBooks (desirable);
  • Ability to work independently with minimal supervision matched by a collaborative mindset and skill in maintaining information flow with key stakeholders.


Salary: $71,000.00-$80,000.00 per year
