Your Role

Reporting to the VP Procurement and Process, the Contracts and Purchasing Administrator will play an integral role in preparing, tendering, analyzing and revising contracts for the purchase or sale of good or services such as labour, materials, supplies, products and equipment. The Contracts and Purchasing Administrator will work closely with the contracts and purchasing team while interacting with the larger Cachet team both on site and in the office.This role requires interaction with trades, manufacturers, suppliers and designers to ensure accuracy of information.The ideal candidate has 3+ years' experience in a high production home building environment and takes pride in the quality of their work.


Responsibilities:

  • Prepare tender documents for trades and suppliers invited to bid on each project
  • Become a point of contact at Cachet for trades partners and work collectively to grow our network
  • Assist in creating vendor subcontracts in Newstar for all base house and extra pricing prior to construction start
  • Schedule meetings with applicable trades to review working drawings, brochures and material take-offs to ensure accuracy
  • Conduct market research to ensure our costs and product are competitive in changing market conditions
  • Prepare appropriate materials and facilitate contractor meetings
  • Timely tendering of all new phases and plans while ensuring bid submissions are accurate and complete
  • Ensure a proper audit file is maintained for each contract and includes all correspondence, changes, amendments and clarifications
  • Upon tender completion create trade comparisons to be reviewed with the Contracts and Purchasing team
  • Assist in conducting cost analysis and budget reviews for cost control as required
  • Create all Contracts and Addendums in the Microsoft suite of services and circulate for signatures via DocuSign
  • Collaborate with the construction team to bring resolutions to issues as they arise on site
  • Ensure trades and suppliers are fulfilling legal requirements, construction and contract specifications
  • Work with the team and trade partners to ensure material take-offs are completed as required
  • Ensure our contracts are up to date while maintaining electronic site-specific trade files accordingly
  • Work with the Contracts and Purchasing team to define vendor list and trade specific scopes of work for each community
  • Complete various tasks for the Contracts and Purchasing Team as required


What You Bring:

  • Experience with NEWSTAR
  • Strong oral and written communication skills
  • Proficient in MS Office software
  • Strong organizational skills
  • 3+ years' experience in in a high production home building environment
  • Understanding of contracts, plans, and specifications, as well as construction methods, materials, and regulations. Includes knowledge of all trades, staff responsibilities, scheduling, and scopes of work
  • Knowledge of Ontario Building Code, Occupational Health and Safety Act, and other health and safety regulations
  • Drive to excel with a willingness to take responsibility and be held accountable for results.
  • Superior interpersonal skills: able to build and maintain positive relationships with a broad network of contacts, including trade partners and suppliers
