Client, Third Party and Administrative Support Assistant Job Posting
Scope of Position
Triangle Community Resourcesis seeking to fill the Client/Third Party and Administrative Assistant position in our Maple Ridge Office. This is a multi faceted position that entails acting as a liaison for clients who have been mandated from the Ministry of Social Development and Poverty Reduction (MSDPR) to receive 3rd party services from Triangle Community Resources due to behaviours and high needs such as addiction, mental health, and homelessness, as well as supporting clients receiving employment services. The Client, Third Party and Administrative Assistant is often the first point of contact for a client. They must ensure clients meet eligibility requirements, continuously working from a non judgemental, supportive focus, providing the clients with a kind and welcoming environment while ensuring appointments for intake or other services are booked in a timely manner.
Qualifications and Required Skills
Diploma/certificate in a related field, or equivalent education/experience
Minimal 1-year direct experience working with high risk, high needs clients such as homelessness, mental health, addictions
Excellent communication, crisis management and de-escalation skills are essential
Good working knowledge of income assistance (MSDPR), existing programs and services, community resources, and local labour market conditions
Maintain professional boundaries, adhere to all privacy and confidential regulations/requirements
Strong interpersonal, cross-cultural communication skills, patience, tact, flexibility and an ability to build rapport with clients and co-workers
Familiar with standard office equipment and skilled in the use of Microsoft Office software, including Outlook and Teams and facilitating virtual meetings
Third Party Administrative Duties:
Accept referrals from MSDPR; interview/assess clients, gather information relevant to clients’ problems, needs and risks
Act as liaison between client and MSDPR; clearly communicate client needs to MSDPR following policy and in a timely manner
Take direction from MSDPR; maintain regular communication with client and MSDPR, provide progress discussions/reports
Assist clients to access community resources as appropriate
Ensure clients feel safe and respected
Complete case management reports in EXCEL format
May provide life skills training in behaviour management, money management and poverty rights, access of entitlement
Follow all rules of confidentiality and keep up to date on ever changing MSDPR policy and procedure
Administrative Assistant Duties
Provide "day-to-day administration duties pertaining to the office and to the client, including documentation in case management system, ensuring timelines are met, and communicating and developing ongoing relationships with service providers.
Document all program related interactions in case management database including financial supports, referrals, 1:1 meetings, employment, and work experience. Maintain updated notes in each digital client file for weekly team meetings
Purchase, support, and track client financial supports
Responsible for overseeing and coordinating financial reporting functions; collecting reports as requested by Management, checking for accuracy, and forwarding to Management
Organize and maintain office entrance and lobby, ensure efficient operation of computer stations, telephone, photocopier, and monitor participants appropriate use of these machines
Work collaboratively with all staff to create and maintain database of potential employers seeking work experience relationships with our clients and employment opportunities
Ongoing marketing and promotion, recruitment and selection of participants, employers, and work experience opportunities
Maintain up to date directory of local, community-based services as well as information from community service organizations that may be useful to clients
Assist with arrangements and participation of job fairs, employer meetings and community events
Maintain up-to-date resources of local labour market trends, list of relevant job vacancy listing websites, local employers hiring
Assist and support clients to use computers for job search and responding to job vacancy postings
