Characteristics:You are a personable, patient, and curious person who genuinely enjoys talking to people on the phone and in person. You are passionate about the need for permanent families for children and youth in/from the child welfare system. You can work with a group or independently as part of a small, busy, and dedicated team.You take direction well and are eager to learn while also contributing ideas and problem-solving.
Responsible to: The Assistant Program Manager will be reporting directly to the Program Manager and Executive Director.
The Assistant Program Manager will be responsible for supporting thework of the Executive Director and the Program Manager which includes, but is not limited to, the following:
- Plan meetings and take detailed minutes
- Liaisewith Executive Director and Program Manager to handle requests and queries
- Create and maintain contact lists
- Preparing materials for trainings – binding books, printing documents
- Correspond with volunteers
- Filing
- Track and log calls and emails
- Assist in the preparation of regularlyscheduled reports
- Act as the initial point ofcontact for internal and external clients
- Scan documents, forms, etc.
- Assist with collecting and collating data
- Write anddistribute mail, emails, memos, letters, etc.
- Answer and direct email and phone correspondence
- Coordinate andbook venues, speakers, Elders, events
- Assist with tacking themetrics of the project
Time Requirement:
- The is a short-term work from home contract for the period of September 1, 2023 to March 31, 2024 and is based on a 5-day, 15-hour part-time work week.
Qualifications:
- Independent worker with good time management skills
- 2 years experience in administration
- Bilingualism is an asset (French/English)
- Familiarity with Quickbooks online (asset)
- Quick learner
- Familiarity with the child welfare sector (asset)
- Detail oriented
- Excellent written, verbal, and interpersonal communication skills
- Service-oriented with pleasant telephone manner and sensitivity to a diverse population
- Proficiency in social media (Facebook, Twitter,Instagram, etc.)
- Criminal Records Check for Vulnerable Sector (required)
- Familiarity with data collection systems and other strategies that optimizeaccuracy, efficiency and quality ofdata
- Proficiency with computer software (Excel, Word, PowerPoint, Google, etc.)
- Degree or certification in related field
