Maybe you’re looking for a new opportunity, maybe you’re feeling bored with your current role, or maybe this role just happened to catch your eye - for whichever reason, I present to you the role of Administrative Specialist: a client-centric role in conjunction with all of our Studio locations.
We’re currently seeking an Administrative Specialist to join our highly driven Customer Service team that works closely and collaboratively with all departments and studios. You will be acting as the first point of contact for all prospective clients across all studio locations.Your ultimate goal is to ensure client satisfaction and assist all stages of the client pipeline in running efficiently.
We’re looking for an energetic, compassionate, and highly organized administrative professional with a background in luxury, beauty, and/or bridal-related products and services, who’s not afraid of a fast-paced, customer-focused environment. As a highly driven individual, you will be the bridge that ensures seamless operations across all departments and studios.
Here’s What You’ll Be Doing…
  • Contact and book clients for re-shoots, viewing sessions, and order pick-up;
  • Check emails daily to ensure timely responses are being received, to forward all emails to correct departments, and verify that there are no cancellation or rescheduling requests;
  • Confirm that we have received all necessary payments in accordance with a guest’s booked services;
  • Import new leads received from email inquiries into the program and advise respective cities;
  • Respond to the time-sensitive communications of absent Account Executives from their respective clients and provide the appropriate solution/response for them;
  • Ensure all incoming reservations are scheduled accordingly and that there are no system errors;
  • Maintain clear, concise, and consistent communication between studio employees, HQ, and incoming/arriving guests;
  • Listen to all voicemail messages and return each clients call - you must provide appropriate responses and ensure that there are no cancellation or rescheduling requests that have been left unattended;
  • Confirm all studio reservations and review all confirmation text response, verify that all cancellation or reschedule requests have been responded to - this will be done through Heroku, Square, and RingCentral;
  • Maintain a positive and respectful attitude with all clients.
  • Screen all fresh leads, via text message, for the Account Executives across all studios;
Requirements
Here’s what you’ll be bringing to the team…
  • Extremely organized, efficient, and dependable;
  • Excellent written and oral English;
  • Flexible schedule [evenings, weekends, 10 hour days, etc.];
  • Fluent in oral and written French and/or Spanish. Trilingual in English, French, and Spanish considered to be an asset;
  • Passion for people and promoting self-love and confidence;
  • Ability to work very well under pressure and in a team-oriented environment;
  • Maintain the ability to remain calm and collected in stressful situations;
  • Strong telephone etiquette;
  • 3+ years of customer service and administrative experience; previous experience working in a women-oriented environment and/or in the beauty industry considered an asset;
  • Experience with Shopify, Square, Slack, G-Suite;
  • Excellent customer service skills;
  • Interest and knowledge of photography is considered to be an asset.
