We are currently looking for an Administrative Assistant, Communications and Events
The successful candidate will support Équiterre's communications team and its event coordination efforts. His or her responsibilities will include carrying out administrative and logistical tasks, preparing documents and ensuring follow-ups. He or she will regularly be called upon to draft various internal and external communications.

YOUR MISSION
Responsibilities
  • Participate in the development and maintenance of management tools (e.g. work schedules, tracking files, templates, forms, etc.)
  • Other related duties
  • Assist with the logistics and organization of events, such as webinars, press conferences, panels, launches, etc.
  • Ensure the legal deposit of Équiterre’s publications with the BANQ
  • Integrate content into our internal newsletter
  • Respond to internal and external requests for information
  • Organize and archive documents and photos
  • Assist the team in carrying out communication activities and follow ups
  • Search for photos and, as needed, support logistics for photoshoots and video shoots
  • Prepare mailing lists for email campaigns (segmentation)
  • Post content on Équiterre’s various platforms (website, social media, direct mail, etc.)
  • Maintain website, social media and newsletter traffic statistics
  • Manage the team’s documentation, update key documents, and manage billing follow-ups
  • Prepare agendas for team meetings, take notes, ensure follow up on tasks
  • Request quotes and follow up with external suppliers
  • Maintain a press review
OUR OFFER
  • Permanent full-time position: flexible schedule, 32 hours/week
  • Group insurance (after 3 months, 75% paid by Équiterre)
  • Équiterre offers a dynamic and stimulating work environment, located either in Montreal, at the Maison du développement durable, in the heart of the Quartier des Spectacles, or in Quebec City, at the Centre culture et environnement Frédéric-Back, near the National Assembly.
  • 6 weeks of vacation, including 2 weeks off over the end-of year Holiday period (paid, with at least 3 months of seniority)
  • With base criteria, salary starts at $26.63 per hour (if less or more education and/or relevant experience, salary may vary according to Équiterre’s salary scale)
  • RRSP (after 3 months, Équiterre contributes up to 2%)
  • Hybrid work arrangement (2 days/week in one of our offices)
  • Start date: Summer 2023

YOUR PROFILE
Knowledge (training and expertise)
  • Strong interest in Équiterre's mission and knowledge of its key issues
  • Degree in a relevant field (e.g. Administration or Communications)
  • Excellent command of written and spoken French and/or English
  • Functional bilingualism
  • Digital literacy
Know-How (experience And Skills)
  • Proficiency in direct mail and CRM software (Hubspot an asset)
  • Proven ability to manage and follow up with multiple partners
  • Experience using a CMS
  • Excellent research, writing and editing skills
  • Excellent organizational and time management skills
  • Knowledge of social networks
  • At least 3 to 5 years of relevant administrative support experience
