What You’ll Do
As the Administrative Coordinator for ORD COO, you will provide PA support to some members of the ORD COO Leadership team, as well as fulfilling a pivotal role for administrative and project coordination activities across all ORD COO teams. This is a senior administrative role and requires a calm and professional approach. You will represent COO leaders with high-profile internal and external stakeholders and be accustomed to working at an AZ SET-1 level or similar.
You will work closely with the PA to Oncology R&D COO and Director BPO, both based in Cambridge UK. This includes supporting the ORD Chief Operating Officer directly during periods of PA absence, including all activities associated with managing time, travel, priorities and schedule.
You will also support the Strategy Lead and the Director BPO for COO to ensure all strategic, critical business processes and meetings are supported in an efficient and timely way. This will include proactivity, exercising judgement in determining priorities, decision making to levels appropriate to the role career level and be expected to work independently to progress activities to conclusion.
Regular Activities:
  • Pro-actively manage the very demanding schedule and calendar of a senior leader, monitoring their email in box and flagging priority tasks
  • Coordinate department trainings, offsite events for leadership teams, and all hands meetings, social and other events, in collaboration with the PA to COO and BPO to COO
  • Effectively lead special projects and other duties as assigned
  • Effectively coordinate and collaborate with other Administrative Assistants within AZ on cross-functional and cross-organizational meetings / events / processes, including across multiple international time zones
  • Establish and maintain a robust professional network across COO administrative teams in the US and Cambridge to facilitate effective working and build the ORD COO presence and reputation
  • Pro-actively handle highly complex meeting scheduling, working with multiple senior stakeholders and their teams
  • Responsible for onboarding new starters by collaborating closely with NEO team/Line Managers to ensure ordering and provision of equipment in time for their induction day
  • Use business understanding to contribute and propose improvements to existing processes and new processes when appropriate
  • File expense reports and supply orders with accuracy and efficiency for team members, including follow-through to ensure that appropriate and timely actions are taken
  • Independently and pro-actively resolve administrative requests
  • Play a key role in ensuring the COO induction and onboarding materials, COO organisation charts and distribution lists are accurate, updated and published
  • Handle multi-location domestic and international travel arrangements as well as live and virtual meetings/conferences
Essential For The Role
  • Demonstrated experience working in an autonomous capacity with minimal supervision whilst successfully delivering to target
  • Be experienced in handling highly confidential and sensitive information
  • Excellent written and verbal communication skills
  • Effective prioritization skills including the ability to continuously handle multiple conflicting demands and demonstrable experience of handling expectations.
  • Adaptable, flexible, independent and a positive team collaborator
  • Experienced in a variety of software/systems such as Microsoft Office, Microsoft Teams, Coupa, Concur, or similar administrative systems
  • Solid understanding of working within a complex global organization
  • General knowledge and understanding of company policies and procedures and the importance and impact of compliance
  • 5 plus years of administrative and PA experience, supporting senior leaders
  • Bachelor’s degree preferred
