Position Overview


We are currently looking for an Administrative Assistant to support our Canadian business development team. The ideal candidate will need to possess the skills to manage a fast-paced changing office environment, must be able to meet deadlines, be detail oriented and contribute to a positive, safe, high-quality culture. The construction industry is a fast-paced environment that requires decision-making and problem-solving skills.


District Overview


Kiewit Energy Canada is headquartered in Calgary, Alberta. We are a major industrial contractor that work on projects that involve construction of oil & gas facilities such as oil sands processing, including steam–assisted gravity drainage facilities, upgrading & refining, midstream facilities, power & co-generation, terminal projects (ex. LNG, LPG, etc.), and major mine developments. We also have a Modular Yard facility in Edmonton, Alberta. Our engineering branch is a leading-edge division that offers innovative engineering services for our current projects and new pursuits in Canada. Our design services group are based in Calgary and Houston offering expertise in process, piping, mechanical, electrical, and civil/structural disciplines.


Location


This position will be office-based in our Calgary location at Southport Road SW.


Responsibilities


  • Use SharePoint and OneDrive for sharing of departmental and company files
  • General accounts payable support
  • Coordinating departmental sponsorships, donations, gala events, conference organizing
  • Assisting with event planning; sourcing venues, planning, budgeting, creating, and sending invitations while maintaining RSVP lists
  • General administrative duties; meeting room booking / setup / cleanup, order catering as required, welcome visitors, department calendar management,
  • Ability to reconcile and process a large amount of expense reports both timely and accurately using Concur
  • Assisting in the paperwork process of getting documents signed, distributed, and filed
  • Maintaining a client / partner / vendor contact management system
  • Booking of domestic and international travel within corporate policies
  • Other office administration support as assigned.


Qualifications


  • Proficient in Microsoft Office products including Word, Excel, Outlook, SharePoint, PowerPoint
  • Passion for safety, with the ability to help us ensure that nobody gets hurt
  • Possess a valid class 5 drivers license
  • Team player with the ability to work independently to meet deadlines, goals and objectives
  • Strong interpersonal, written, and verbal communication skills
  • Demonstrated commitment to ethics and integrity
  • Highly motivated, with a demonstrated passion for excellence and taking initiative
  • Strong work ethic, willing to do what it takes to get the job done right the first time
  • Ability to lift, carry and move 40 lbs.
  • High School Diploma and at least  2+ years of administrative experience, preferably for engineering, construction, or oil/gas/chemical company
  • Must be customer service oriented
  • Strong organization, time management, and attention to detail


Other Requirements:


  • Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
  • Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
  • Regular, reliable, in-office attendance
  • Work productively and meet deadlines timely
  • Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment
