2-3 independent, established, and expanding wealth management practices are seeking a Financial Administrative Assistant to co-operatively assist each of their practices. This is an opportunity for a career-oriented individual who wishes to leverage their existing financial background and grow their transferable skills. This position requires strong written and verbal communication skills, attention to detail, the ability to prioritize effectively and a passion for delivering outstanding client service. It will require a strong understanding of computer administration and the ability to learn various back-office computer processes. The position will be remote, and the preferred working time-zone is Pacific Standard Time (PST).
Is this role right for you? In this role, you will oversee:
1. Documentation
·Preparing and maintaining new and existing customer files
·Preparing and sending transfer documents, and following up as needed/appropriate
·Record keeping for new accounts and account activities
·Completing ‘on behalf of’ transactions, trades, and account openings
2. Expense administration
·Monitoring all account fees ensuring adequate account balance is maintained
·Monitoring and implementing contributions, withdrawals, RRIF/LIF payments
·Running various administrative excel reports and sorting data
·Completing investment portfolio reports through Morningstar
3. Compliance/Regulatory
·Taking point on requests from the investment dealer (ACPI) for information and problems that arises.
·Following up on any compliance deficiencies with regards to account openings and account maintenance
·Implementing fund purchases, switches, redemptions, and amendments
4. Communication
·Preparing mailing lists and sending customer correspondence
·Answering basic customer inquiries via email and phone
·Scheduling and rescheduling appointments in support of the Investment Advisor as required
5. Qualifications
·Post-secondary education in Business or Finance is preferred
·1+ years of relevant financial/business/customer service experience
·Working knowledge of investment products and plans is required
·Proficiency in Microsoft Office, including Excel, Word, Outlook
·Working knowledge of Salesforce, DocuSign, Morningstar an asset
·Additional financial courses, credits, or licensing within the financial services industry is an asset.
5. Compensation
·Preferred compensation arrangement would be on a contractual basis separately for each advisor. Meaning, you would operate as a sole proprietor which will have several benefits to you.
·Hours would be Monday to Friday 9am - 5pm or 8am - 4pm.
·4 weeks holidays and all statutory holidays in BC
·Exact compensation will be dependent on skills, education, and hours of availability.
·Anticipated annual income range would be between $50,000 and $55,000.
