Sr. Programs Process Specialist

Job Function

Lead compliance with all software license agreements by monitoring and enforcing proper software usage policies and guidelines. Complete action to monitor and improve performance of software license usage and management. Provide updates on work status, risks/issues, and mitigation/resolution plans. Collaborate with various stakeholders to collect information on software and license consumptions, creation / optimization of software license management processes and sustainment of licenses. Provide guidance and decision support to project teams and finance for license planning and forecasting. Lead the creation of reports to forecast software subscriptions hardware for budgeting purposes.

• Track and renew all existing hardware and software maintenance and support contracts.
• Ensure software compliance by tracking software license entitlement.
• Lead portal management for various technologies (i.e. Azure, VMware, IBM, SAP Ariba).
• Provide license management support while working closely with stakeholders on related project work.
• Collaborate with various stakeholders (such as other ISD teams, LoBs, project teams) to update statistics on software license consumption, design new processes surrounding software license sustainment and to ensure completion of the sustainment template for software licenses.
• Manage contract renewals and forecasts of licenses. Liaise with finance teams to build out the 3rd party forecast.
• Ensure that asset inventories and IT tools such as CMDB are updated
• Perform other duties as required.
• Support projection and estimation of license requirements for projects and ISD teams, providing these inputs for contracts negotiations with software vendors.
• Lead the implementation of methods, policies, processes, best practices, technologies, and tools for software license management. Identify relevant external market trends for IT license management.
• Lead the creation of yearly reports of all software subscriptions, hardware and software maintenance and support renewals for budgeting purposes for the following year.
• Lead the creation and sustainment of effective governance to ensure software asset management processes and procedures are being followed by internal teams and service providers.

Selection Criteria

Education

• Requires in-depth knowledge of current industry leading software and licensing methods for Utilities Industry.
• Requires knowledge of IT license management.
• Requires good knowledge of English to communicate effectively with others, provide effective presentations, and create and/or update documentations such as reports.
• Requires good financial acumen to complete budgeting and forecast reports.
• This knowledge is normally considered to be acquired through 4 years of University Training (Grade XII plus 5 years).

Experience

• A period of over 8 years and up to and including 10 years is considered necessary to gain this experience.
• Requires experience with and knowledge of portal management for systems (eg. Azure, VMware, IBM, and SAP Ariba).
• Requires experience with Application Discovery and Dependency Mapping (ADDM). Experience with software license budgeting would be an asset, but is not required. Experience with or exposure to the Company's specific software licenses and their context would be an asset, but is not required.
• Requires experience in vendor and software license management, including license and cloud license administration.
• Requires experience designing new lifecycle management processes surrounding software license.
