Senior Fund Operations Specialist (Willoughby Asset Management)

Who we are:

Willoughby Asset Management is a provincially registered Investment Funds Manager, managing a rapidly growing suite of pooled fund products. Willoughby is a part of the Harbourfront Group of companies, with head offices located in downtown Vancouver. We are a fast growing and dynamic fund company and are looking for an investment funds administrator to be a part of managing that growth.

Be a valued member of a small team and gain great exposure to all things related to investment funds by supporting the Director of Fund Compliance & Operations to ensure efficient and timely execution of all operational functions of the funds managed by Willoughby. This role can either be based out of Vancouver, BC as a hybrid working model, or the potential for a remote role with some occasional travel to our Head Office in Vancouver.

Key responsibilities

• Maintain the live fund performance and analytics tracking tools.
• Upload fund data to necessary third parties, including Fundata.
• Day to day organization support of the funds and Portfolio Managers
• Support advisor-related enquiries and providing information relating to funds, portfolio prices, distributions, and fund dealing procedures.
• Perform day to day Fund Operational tasks & projects
• Review fund NAV calculations and support Harbourfront dealer if reconciliation and pricing accuracy.
• Provide operational support for Fund Launches
• Ensure accurate investor records maintenance.
• Process documentation related to fund transactions and related activity.
• Provide support as needed for annual audits
• Unit Holder Mailing & communication support
• Prepare and collate due diligence information, including appropriate compliance documentation.
• Provide support on Daily Fund Custodian & Fund Accountant communications and tasks
• Prepare and distribute fund information sheets, financial reports to unitholders, board and shareholder reports related to fund matters.
• Work with the team at Willoughby Asset Management as well as transitions, finance, compliance, portfolio management and operations teams within the Harbourfront Group.
• Projected Distribution calculations

Ideal candidate qualifications:

• Excellent verbal and written communication skills;
• High attention to detail and accuracy;
• Proficiency with MS Office applications;
• Demonstrated ability to learn quickly, results driven, thrives within a fast-paced environment;
• Relevant experience in the Wealth Management industry is a definite asset.
• 5-7 years of previous experience in a finance, accountancy or investment fund management role;
• Exceptional interpersonal skills, independent with a strong sense of initiative;
• Strong analytical, problem-solving, and organizational skills;
• Strong work ethic with a team-first mindset;
• A Bachelor's degree in Commerce, Finance, or Business Administration and/or an equivalent combination of education, training, and experience.
