Since 1963, schools in South Western Ontario have relied on JA to prepare young people for success in an ever-changing global economy. JA South Western Ontario is responsible for the geographic area including the counties of Essex, Chatham-Kent, Lambton, Elgin, Middlesex, Oxford, Huron, Perth, Bruce, Grey, Wellington, Waterloo, Brant, Hamilton, Haldimand-Norfolk, and Niagara.
Position Description:
The Philanthropy Coordinator provides the highest level of administrative support to the philanthropy team. They will monitor the activity of the philanthropy of the organization, primarily focused on the cultivation, solicitation, and stewardship of donors. They will assist the Director, Philanthropy by scheduling meetings, performing data entry, and other duties as required. The Philanthropy Coordinator will demonstrate exceptional client service in managing requests and inquiries from multiple stakeholders including JA staff, volunteers, event sponsors, alumni and donors.

Accountabilities and Responsibilities
1.Team Support
·Assist Director, Philanthropy with both internal and external meeting arrangement;
·Coordinate and execute meeting logistics such as booking meeting rooms, arranging catering, and providing A/V support. Prepare meeting materials including briefing notes, presentations, reports and other materials as required;
·Assist in organizing, coordinating and managing donor and volunteer events and tours;
·Monitor donor activity, ensuring contact reports, coding, and follow-up actions are recorded and completed;
·Assist with Sustainability Committee, including preparing meeting packages, taking minutes, executing follow-up, tracking moves management for volunteer prospects and preparing call reports and follow-up;
·Ensure that sufficient information, research background and analysis is provided to staff and volunteers to fulfill their fundraising responsibilities;
·Provide first point of contact for donors, alumni, volunteers and others seeking information regarding giving to JASWO;
·Develop and maintain understanding of team processes and processes for working with other teams in the organization;
·Provide administrative support coverage in the office as team schedule requires ie. to the Community Projects & Partnerships Manager
2.Donor and Gift Data Management
·Develop and maintain a deep understanding and expertise in the use of the donor database in Sales Force and act as a team champion. Duties may include assisting team members, generating queries, compiling lists, and analyzing donor movements.
·Act as back up to Community Projects & Partnerships Manager
to process gifts including new pledges, pledge payments and one-time gifts;
·Perform all data-entry, coding, uploading and filing and information management pertaining to the activities of the Director, Philanthropy and other staff as required;
·Regularly maintain and update donor records;
·Prepare tax receipts and thank you letters;
·Regularly monitor donor reports to ensure accuracy of pipeline and metrics.
3.Donor Support
·Ensure that appropriate donor cultivation, acknowledgement and stewardship activities are in place and executed. This may involve direct interaction with donors and other internal and external partners;
·Support the execution of donor agreement fulfillment, pledge fulfillment and stewardship activities;
·Assist in organizing, coordinating and managing donor cultivation and stewardship events and tours;
·Prepare and review lists for mailings, special email announcements, event invitations etc.;
·Book and coordinate mid-year and annual stewardship update meetings for donors.
4.Grant Writing
·Identify, qualify and execute initial contact with new prospective granting foundations and corporations.
·Prepare briefing documents and initial correspondence for new and renewing foundations and corporations.
·Prepare draft correspondence for new and renewing foundations and corporations.
·Maintain tracking of all deliverables for successful grant submissions.

Position Requirements:
·College or university degree or equivalent experience
·One or two years of related work experience preferred
·Advanced knowledge of Microsoft Office software suite including Outlook or similar scheduling software
·Knowledge of Sales Force an asset, experience with a customer service management system required
·Client service experience in a professional environment
·Current driver’s license and access to a reliable vehicle. Some regional travel is expected.
·Excellent oral and written communication skills
·Excellent organization skills and proficient time management
·Knowledge of South Western Ontario and charitable sector is beneficial
·Able to work independently and remotely when required
·The ideal candidate will be self-motivated and flexible to work within a team and independent work environment
This full-time position (40 hours per week) is available immediately with regular business hours and some evenings/ weekends. Remote work from a home office anywhere in the JA South Western Ontario region is possible; however, regular attendance at one of our office locations in London (head office), Chatham or Waterloo may be required, with travel as required to other parts of the region. The successful candidate must have a suitable quiet environment from which to work, with a desk and reliable and secure internet access. A laptop will be provided. The position reports to the Director, Philanthropy.

The salary range for this position is $40,000 - $50,000.
