Summary: The Projects Coordinator is the primary point-person responsible for planning, executing, and delivering organizational projects on time, within budget, and in accordance with specifications. To achieve these important goals, the Projects Coordinator will handle project requirements and scope, acquire project resources, and supervise the efforts of project team members. Efficient delivery of project deliverables, effective quality control, clear communication of expectations to stakeholders, and upward reporting to senior management are critical tasks that must be performed throughout each project's lifecycle.


Reports to: Executive Director

Term: Full Time (70 hours every 2 weeks – under a new work life balance model (Week 1: 40 hours / Week 2: 30 hours). Until March 31 2024, with the possibility of a long-term extension

Location: Remote Canada – Reliable & Stable Internet Required

Compensation: This position offers a starting annual salary of $52,500; 3 weeks’ vacation (to start); a benefits allowance (in lieu of a benefits package); other allowances/subsidies; possible year-end bonuses; a diverse and inclusive work environment; professional development opportunities; extra paid days; remote work option; flexible schedule; and the potential for further advancement within the organization. Travel across Canada may be required for this position.

PROJECTS COORDINATOR

Core Duties & Responsibilities

Project Implementation, Performance, and Assessment

● Point-person for all projects or programming that derives from approved government grant applications.

● Ensure ongoing programmatic and organizational evaluation by establishing benchmarks, anticipated outcomes and outputs, timelines, work plans, and resources needed to achieve project objectives.

● Ensure regular data collection and program reporting as required by grant requirements and/or as determined by the Executive Director. Preparing monthly summary and progress reports for the Executive Director to share with the Board of Directors.

● Support the Executive Director in identifying, recruiting, interfacing, and supporting any project contractors.

● Be consistently aware of project specific budgets and ensure appropriate spending for different project costs.

● Participate in collaboration with all partner organizations relating to projects and activities.

● Coordinate with the Communications Team the creation of content and promotion of all project activities on relevant channels and platforms (website, social media, newsletters).

● Support and engage with FCP membership and community groups as required to advise and achieve deliverables of projects and programs.

● Always approach all work with a meaningful commitment to principles of intersectionality, social justice, anti-racism, and anti-oppression.

● Always involve equity-deserving groups in all project activities through FCP’s Leadership Councils structure. Liaise with Ambassadors to ensure Council members receive up-to-date information related to projects and activities and

provide logistics and programming support to Ambassadors of Councils as it relates to projects and activities.

● Support the FCP Team in the planning of FCP activities including the annual conference, AGM, any town halls, and/or events related to projects and programs.

● Lead the development of various resources that align with project objectives but also can be of service to FCP members and community groups.


General

● Respond to inquiries in a timely manner, both internally and externally.

● Maintain positive working relationships with members, community groups and other 2SLGBTQIA+ agencies.

● Attend any regular staff, committee, and working group meetings.

● Maintain communication with the entire FCP team on all organizational channels, including Slack, email and other tools as deemed necessary.

● Support in initiating, organizing, and fulfilling general organizational work as required and requested. This may include but is not limited to administrative tasks, membership efforts, fund development goals, strategic planning, and any organizational guidelines and procedures.


Qualifications

● Post-Secondary Education in social sciences, university-level academic or professional training in project management, women’s and gender studies, public policy, business, non-profit management, or a related area. Work and life experience will be considered as well

● 2+ years of direct work experience in a project coordination and/or related/similar role

● Dynamic, creative thinker with strong planning and execution skills with an attention to detail and time management

● Fluent in English with excellent written and oral communication skills. Ideal candidates will have a professional working knowledge of French

● Strong knowledge, use, and administration of various software platforms, including Slack and all aspects of Google Workspace

● Exemplary organizational skills as well as problem identification and resolution skills with a flexibility to adjust to shifting priorities and tight deadlines

● Ability to create and edit project documents, materials, and presentations

● Initiative-driven with an ability to work independently while also being a team member, establishing and maintaining positive working relationships with staff, contractors, partners, members, and volunteers

● Experience in a non-profit organization and/or knowledge and experience working with 2SLGBTQIA+ communities

● Genuine interest and passion in human rights, policy, and advocacy and a commitment to supporting and amplifying FCP’s Mission, Vision, and Values.
