Reporting to the Chairs of the Health and Community Studies departments, the Receptionist – Health and Community Studies is the first point of contact for all incoming phone, email and in person inquiries. The incumbent answers a variety of questions about Health and Community Studies programs, provides a warm handover to other College and community services as required, and supports students with required Police Record Check documentation for their programs. In addition, the incumbent provides clerical support to the Community Studies department and assists the Administrative Assistant to the Chair with tasks as needed.
Key Duties Include (but Are Not Limited To)
  • Completing inventory of office supplies and arranging for re-ordering as necessary
  • Assigning course exemption requests in Laserfiche to appropriate Program Coordinator
  • Assisting Community Studies Administrative Assistant with clerical tasks as required
  • Maintaining the departmental storage rooms in good and clean order
  • Completing and sending out Evaluation and Promotion meeting letters for Community Studies
  • Distributing incoming mail
  • Shredding/disposing of confidential student/departmental information
  • Greeting visitors, learners and staff in Community Studies department
  • Assisting with departmental staff and student retention activities
  • Responding to email, phone, and in-person questions and inquiries
  • Reporting all physical/environment problems reported to Chair/department to appropriate help desk/department for follow up and resolution
  • Identifying, communicating and recommending ways to improve processes across all areas of responsibility
  • Filing and retrieving student record information, including from archived records
  • Remaining current with departmental policies, procedures and best practices
Required Qualifications
  • 1 year clerical experience in an office setting
  • 1 year certificate in Office Administration, or related field
  • 1 year front line client service experience, preferably in an office setting
  • Experience in a postsecondary educational environment is an asset
  • Previous experience in using MS Office Suite
Anticipated Weekly Schedule
  • Four days a week (6 hours per day)
  • Monday to Friday (four days at 5 hours and one day at 4 hours) or
  • Vacancy is for P20091
  • This position is paid at Payband 7
