Position Summary
Oh Baby Nutrition is seeking an Operations Manager to lead our rapidly expanding team for a 15-month maternity leave contract starting in October 2023. You will work closely with the Director to make important strategic decisions that support the company’s vision and growth. You will be involved in developing and managing company software, executing operational policies and organizational processes company-wide, and setting and managing the standard operating procedures that help get Oh Baby to the next level. You must be someone who can see the big picture but also loves getting into the details as your role will be to analyze workflows in order to recognize pain points, identify solutions, and initiate action. Because we are a small (but mighty) organization, the right candidate needs to be a self-starter with an entrepreneurial spirit. The ideal candidate has people management experience — and enjoys doing it.
Responsibilities
- Play a significant role in planning short and long-term goals for the business including marketing, operations, budgeting, and brand partnerships.
- Provide inspired leadership to help promote a company culture that encourages self-driven team members who demonstrate initiative.
- Work with the marketing team to guide the student/alumni experience and communications by overseeing email sequences, student/alumni features, and the Student Community Facebook Group.
- Become an expert with all company software, including our learning platform (Kajabi), payment processor (Stripe), Slack, Gmail, and PayPal.
- Assist with budgeting and strategizing to reduce operational expenses.
- Implement strategies to grow our affiliate alliances and identify avenues to expand our student scholarship opportunities.
- Review and revise operational policies, SOPs, processes, and infrastructure, while looking for opportunities to improve quality, productivity, and efficiency.
- Manage the operational calendar (including marketing initiatives, although you’re not directly responsible for these).
- Project management and assigning using Monday.com.
- Manage HR procedures such as vacation requests and employee contracts.
- Manage student and graduate relationships, partnering with Lead Evaluator, Student Support, and other team members to provide additional support and guidance as needed.
- Provide constructive feedback and mentorship to all team members including regular one-on-ones, goal-setting meetings, and reviews.
- Work with the Director to refine and uphold company values and mission.
- Support with recruiting, collaborating with transitions, and onboarding new team members.

- Possess excellent organizational and problem-solving skills.
- Administrator-level experience with multiple software platforms.
- Exhibit resourcefulness — new challenges arise as we continue to expand, which require an innovative approach to problem solve swiftly and efficiently.
- People management skills including goal-setting experience, giving reviews, and providing feedback. Be a strong leader who thrives within a small, close-knit team.
- Exceptional verbal and written communication skills.
- Demonstrate a high level of Emotional Intelligence
Knowledge & Access
- Proficient in and/or eager to learn shared Gmail inbox, Google Drive (document storage), Airtable (grade tracking), Flexiquiz (exam software), Kajabi (CRM and learning management software), Zoom (video conferencing), Slack (team communications), Stripe (payment processor), PayPal (contractor payments), and any other software we implement in the future.
- Digitally savvy, experience with automation is an asset.
- Reliable Internet and computer access as this is a fully remote role.
Education & Experience
Required
- Minimum five (5) years of prior experience in a management, leadership, or operations position, with an understanding of financial management.
Preferred
- Prior experience working in education, ideally in a private post-secondary setting.
- A passion or interest in holistically supporting pregnancy, postpartum, and babies.
- Degree or Diploma in Business Administration, Operations Management, related field, or relevant experience.
Working Conditions
This is a fully remote role and team, so specific working conditions are up to you. Your weekly set hours will be Monday through Friday from 9:00 AM to 5:00 PM Pacific time; which are OBN’s operating hours. As this role is conducted online, you must be able to work at a computer for significant periods without strain. You must also be available for the weekly all-team meetings, which the Director sets, as well as recurring one-on-ones with your team members and direct reports.
